Position Overview

We are seeking a compassionate and detail-oriented Medical Assistant (MA) to join our team at our Santa Monica clinic. This role goes beyond a typical MA position—while you will play a key role in supporting clinical operations, you will also contribute to scaling a tech-enabled mental health startup. That means opportunities to support communications, collaborate with our marketing team, and participate in building innovative patient engagement tools.

Key Responsibilities


  • Assist physicians and therapists in administering psychedelic-assisted therapies, particularly bespoke ketamine-assisted psychotherapy, in accordance with clinic protocols and regulations.
  • Perform pre-therapy assessments, including obtaining patient medical histories, assessing vital signs, and conducting mental health screenings.
  • Prepare treatment rooms and equipment for therapy sessions, ensuring a safe, clean, and welcoming environment for patients.
  • Monitor patients during therapy sessions, offering reassurance and support as needed, while accurately documenting treatment progress and observations.
  • Collaborate with therapists and multidisciplinary healthcare teams to develop individualized treatment plans and coordinate patient care.
  • Communicate with patients to schedule appointments, coordinate follow-ups, and provide reminders and support before and after therapy sessions.
  • Educate patients on the therapeutic process, potential benefits and risks of psychedelic-assisted therapies, and strategies for post-therapy integration.
  • Maintain accurate, thorough, and confidential patient records using advanced electronic medical record (EMR) systems. Proficiency with EMR is strongly encouraged.
  • Order, track, and organize medical and office supplies to ensure efficient clinic operations.
  • Ensure compliance with clinic policies, procedures, and relevant healthcare regulations governing psychedelic-assisted therapies.
  • Occasionally support cross-functional initiatives (communications, content prep, or marketing tasks) to help scale the practice.


This role is heavily focused on patient-facing communication and follow-up.You will serve as a primary point of contact for patients before, during, and after treatment, ensuring that they feel supported and informed at each step. From confirming appointments and sending reminders to coordinating post-treatment check-ins, you’ll help build trust and continuity of care that strengthens both patient outcomes and long-term engagement.


Qualifications

  • High school diploma or equivalent; completion of a medical assistant program preferred.
  • Certification as a Medical Assistant (CMA or RMA) strongly preferred.
  • Clinical experience in mental health, palliative care, or related settings highly desirable.
  • Proficiency with EMR systems and comfort with digital communication tools.
  • Strong interpersonal skills and empathy; ability to build rapport in therapeutic contexts.
  • Excellent organizational and multitasking abilities suited to a dynamic startup environment.
  • Interest in healthcare innovation, patient engagement, and the future of tech-enabled care.
  • Farsi/Persian speaking candidates encouraged to apply.


Work Arrangement

This is currently an in-person/hybrid remote position. Some tasks can be completed remotely, but in-person availability at our practice is necessary during regular operating hours. The role will transition into a primarily in-person commitment to support direct patient care and on-site clinical operations.
