Medical Call Center Specialist/Front Office

Principal Duties and Responsibilities:

- DOFI should always have a smile on or off the phone

- Takes initiative to answer calls on the first ring

- Properly answer the phone using the script and introducing yourself

- Use phone etiquette to properly place a caller on hold, if necessary by asking first if they can be placed on hold, then once back on the line thanking the caller for staying on hold

- Look up existing patient, appointment to make or reschedule an appointment

- Understands the difference in appointments in the Meditouch system and the color codes

- To schedule a New Patient, enter patient demographics accurately 1-5

- Schedule appointments – NP, F/U, Audios, Procedures

- Able to read previous EMR system encounter notes to allow for answering patient questions

- Enter patient chart notes or alerts, if applicable

- Enter correct insurance information (HMO, PPO, Medicare, etc.) Knowledge of which insurances we accept and do not accept. Comfortable with self- pay language

- Ability to verify insurance benefits by computer and phone. Ability to read and understand insurance cards accurately

- Understand the process to use, submit, and read authorizations via HCP/THIPAS/Regal Med portals.

- Trained to schedule urgent referrals. Knowledge regarding criteria for an emergency and how to handle it in a calm manner

- Scan and assign faxes and forms. Understanding of types

- Trained to receive all tasks, auth, scheduling and reports

- Effectively work each provider’s priority lists

- Understanding of the on call schedule, screen calls for doctors

- Completes hospital consult paperwork and contacts on-call doctor

- Ability to speak with a difficult patient on the phone in a professional & compassionate manner. Knowing when to transfer the call to the Practice Leader

- Checks message in Meditouch system often during session for messages/tasks from providers, coworkers or management

- Assists Front Office Check-In staff to contact all No-Show appointments to reschedule appointment

- Inform MA and Front Office when patient calls to cancel or reschedule same day appointment

- Cleans front office, dofi room and break room according to front staff maintenance worksheet

- Be a team player. Provide Concierge Service Excellence to our valued patients

- Attend and participate in monthly staff meetings

- Train staff accordingly

- Maintain knowledge of Policy & Procedure Manual and any/all updates

Job Type: Full-time

Pay: From $21.00 per hour
