Job Title: Medical Conference Software Coordinator

About the Role
The Medical Conference Software Coordinator is responsible for managing, coordinating, and optimizing all software systems used to support the planning, execution, and post-event operations of the Global Perio Implant Summit IT. This role ensures seamless integration of conference platforms, registration systems, virtual/hybrid event tools, and digital engagement solutions to deliver a high-quality experience for speakers, delegates, sponsors, and organizers.
Key Responsibilities
Conference Technology Management
- Oversee end-to-end setup and maintenance of conference management software and event platforms
- Configure registration systems, abstract submission portals, and attendee databases
- Manage virtual and hybrid conference platforms, including live streaming tools and session hosting software
Event Coordination Support
- Collaborate with event planners, medical committees, and IT teams to align software functionality with program requirements
- Ensure accurate scheduling, speaker uploads, session tracking, and program updates across platforms
- Provide real-time technical support during live conference sessions
Data & Reporting
- Maintain secure attendee data, ensuring compliance with data privacy standards
- Generate analytics and reports on registrations, attendance, engagement, and session performance
- Support post-event reporting for stakeholders and sponsors
Technical Support & Troubleshooting
- Serve as the primary point of contact for software-related issues before and during the conference
- Troubleshoot platform errors and coordinate with vendors or developers for resolution
- Conduct system testing and quality assurance prior to event launch
Vendor & Stakeholder Coordination
- Liaise with software providers and digital service vendors
- Evaluate and recommend improvements to event technology stack
- Support procurement and renewal of digital tools as required
Qualifications
- Bachelor’s degree in Information Technology, Computer Science, Health Informatics, or related field
- 2–5 years of experience in event technology, conference management systems, or digital event coordination
- Experience supporting medical, scientific, or academic conferences preferred
- Familiarity with virtual event platforms, CRM systems, and webinar tools
Required Skills
- Strong understanding of event management software and digital conferencing tools
- Excellent troubleshooting and problem-solving abilities
- Ability to manage multiple systems and deadlines simultaneously
- Strong communication and coordination skills
- Attention to detail, especially in data handling and scheduling accuracy
- Ability to work under pressure during live events
Preferred Attributes
- Experience in healthcare, dentistry, or scientific conference environments
- Knowledge of abstract management systems and CME/CPD tracking systems
- Familiarity with hybrid event production workflows
- Ability to work collaboratively with international teams and stakeholders
Work Environment
This role operates in a fast-paced, event-driven environment with peak workloads during conference periods. Flexibility in working hours, including evenings and weekends during live events, may be required.
Reporting Line
Reports to: IT & Digital Events Manager / Conference Operations Director
Coordinates with: Scientific Committee, Event Management Team, External Vendors, and IT Support Teams
Pay: Up to QAR710,000.00 per year
