Medical Insurance & Billing Specialist

Job Overview
Neurolimits is a neuroscience-led neuro wellness clinic in Westlake Austin focused on advanced brain health services including TMS, neurofeedback, EEG diagnostics, psychological testing, and sleep-related care.

We are looking for an experienced Medical Insurance & Billing Specialist who can independently manage the complex insurance workflows required in a modern healthcare clinic.

This is a full-time, in-office role (Monday–Friday, 9 AM–6 PM).

We are specifically looking for someone with deep experience handling commercial insurance workflows, including prior authorizations, denied claims, out-of-network benefits, payer communication, and patient responsibility calculations.

Minimum Requirement:

  • 5+ years of direct medical insurance billing and back-office insurance experience in a healthcare clinic or medical practice

What You’ll Be Responsible For

Insurance Verification & Benefits

  • Verify insurance eligibility and benefits before services
  • Determine patient responsibility, deductibles, coinsurance, and out-of-pocket estimates
  • Handle both in-network and out-of-network benefit verification
  • Understand payer-specific behavioral health and specialty care policies

Authorizations & Pre-Approvals

  • Submit prior authorizations and pre-certifications
  • Track authorization status and obtain required documentation
  • Communicate with providers and staff regarding authorization requirements
  • Manage appeals and peer-to-peer coordination when needed

Claims & Revenue Cycle Management

  • Submit insurance claims accurately and efficiently
  • Review rejected or denied claims and resolve independently
  • Correct coding or billing issues when applicable
  • Follow up on delayed or underpaid claims
  • Maintain claim status tracking and payer communication
  • Work aging reports and unresolved balances

Systems & Software

  • Use TherapyNotes as the primary EHR
  • Use Availity extensively for eligibility, claims, authorizations, and payer communication
  • Maintain accurate patient insurance documentation and records

Requirements (Must Have)

  • Minimum 5 years of direct medical insurance billing and back-office insurance experience
  • Strong experience with Availity
  • Experience using TherapyNotes or ability to learn quickly
  • Extensive experience with insurance eligibility, authorizations, claims submission, denials, and appeals
  • Strong understanding of commercial insurance workflows and payer systems
  • Familiarity with major payers including BCBS, Anthem, Aetna, Cigna, United Healthcare, and VA/Tricare
  • Comfortable handling complex out-of-state insurance issues and payer variations
  • Highly organized and able to manage multiple insurance workflows simultaneously
  • Strong phone and communication skills with insurance representatives and patients

Preferred Experience

  • Behavioral health, neurology, TMS, or specialty clinic experience
  • Experience with out-of-network reimbursement workflows
  • Familiarity with mental health and neuro wellness insurance billing

Pay: $22.00 - $28.00 per hour
