Medical Office Front Desk Coordinator/Administrative Assistant/Medical Assistant

Overview
Busy, high-end and nationally-recognized Plastic Surgery Practice is looking to add another member to our front office team. We are a small but tight team, therefore all our staff must be ready, willing, and able to work outside of their traditional roles for the betterment of the office and exceptional patient care. We are looking for someone with previous experience in a medical office, preferably cosmetic surgery, who is knowledgeable about cosmetic procedures and terminology and has amazing people skills. If you are a Medical Assistant, there can be an opportunity for this to be a hybrid administrative/medical assistant position if you are the right person.

Candidates must be available to work in person Monday through Friday in our Upper East Side NYC office. The work hours are usually 10:30am-6pm but there can be some flexibility on start time if requested.

Requirements

  • Previous experience in a front desk or administrative role, preferably in a medical setting, with bonus points for experience in a cosmetic/aesthetic practice.
  • Proficiency in medical scheduling practices and familiarity with healthcare terminology.
  • Bilingual candidates (english/spanish) are encouraged to apply to enhance communication with diverse patient populations.
  • Strong understanding of HIPAA regulations
  • Excellent organizational skills with the ability to multitask effectively.
  • Proficient typing skills and experience with office software applications.
  • Strong attention to detail and commitment to maintaining confidentiality.
  • Dedication to customer service.

Responsibilities

  • Greet patients and visitors warmly, providing exceptional customer service.
  • Manage medical scheduling, ensuring appointments are booked accurately and efficiently.
  • Handle incoming phone calls with professionalism, utilizing effective phone etiquette.
  • Maintain patient records and documentation in compliance with HIPAA regulations.
  • Review documentation for accuracy and completeness before patient visits.
  • Assist with administrative tasks such as filing, data entry, and office organization.
  • Collaborate with healthcare providers to facilitate smooth operations within the office.
  • Utilize medical software systems. Experience with MacPractice and/or Weave is optimal but not necessary.
  • Perform other tasks necessary for the efficient running of the office and providing excellent patient care (keeping a clean workspace and office, speaking with vendors, stocking supplies, payment of office bills, etc)

Job Type: Full-time

Pay: $21.00 - $24.00 per hour
