Front Desk Receptionist - Adult Primary Care

The Position.

  • Full time (40 hours / week).
  • Non-Exempt (Hourly).
  • On-Site.
  • Monday - Friday, NO weekends!

As a Front Desk Receptionist in our Adult Primary Care practices, you are often the first smile patients see and the first voice they hear. You play a vital role in creating a welcoming, organized, and positive experience from check-in to check-out.

This position is ideal for someone who enjoys staying busy, loves helping people, thrives in a fast-paced environment, and can easily adapt to working across different clinic sites. You will support patients, providers, and your team through scheduling, coordination, insurance verification, and clear communication - all while keeping the front office running smoothly.

The Locations: Inland Empire, CA (Multi-Site)... and growing!

  • (2) offices in Murrieta, (1) in Temecula, (1) in Sun City, (1) Hemet at this time.
  • Temperature-controlled outpatient clinic settings.
  • Parking lots available.

What To Expect.

  • Frequent in-person and phone interaction with patients, providers, and team members.
  • High-volume scheduling, coordination, and administrative workflow throughout the day.
  • Ability to multitask while maintaining accuracy and professionalism.
  • Prolonged and continuous computer and office phone use, including data entry, typing, and EMR documentation for the majority of the workday.
  • Prolonged periods of sitting, standing, and speaking.
  • Handling patient intake documents and payment processing.
  • Exposure to a clinical healthcare environment and fast-paced environment.
  • Assignment to any of our five clinic locations based on operational needs.

  • Ability to handle expectations as described.
  • Comfortable to work across all clinic locations in support of operational needs; reliable transportation required.

The Wage.

$19 - $22.00 per hour; will be determined based on experience, skills, and qualifications.

The Summarized Duties.

  • Promptly answer incoming calls, screen and route appropriately, and take detailed and accurate messages.
  • Input and verify patient demographics and insurance information.
  • Schedule, confirm, cancel, and reschedule appointments in accordance with established guidelines.
  • Utilize proper registration protocols, update existing patient data, and apply appropriate visit types.
  • Maintain knowledge of provider schedules and scheduling restrictions.
  • Greet patients and visitors in a professional and welcoming manner.
  • Obtain all required documentation and information during check-in.
  • Complete check-out procedures according to office protocols.
  • Collect patient payments, accurately post transactions in the EMR system, balance cash drawer, and reconcile daily batches.
  • Maintain front office cleanliness, organization, and safety awareness; notify supervisors of any concerns.
  • Maintain working knowledge of providers, clinic locations, and personnel.
  • Maintain compliance with all company policies and procedures, healthcare compliance standards (including HIPAA), and applicable federal, state, and local regulations.
  • Perform other duties as assigned by management.

The Required Skills and Other Qualifications.

  • Minimum 1 - 2 years of experience as a Front Office or Medical Receptionist.
  • Strong time management skills with the ability to multitask and prioritize effectively in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • High accuracy in data entry and documentation.
  • Comfortable with technology and learning systems.
  • Understanding of HIPAA regulations and patient confidentiality standards.
  • Conflict resolution and de-escalation skills.
  • Professional phone etiquette.
  • Adaptability to workflow changes.
  • Dependability and punctuality.
  • Flexibility to adjust to different clinic environments.
  • Ability to work in a team environment, as well as independently with minimal supervision.
  • Reliable transportation and ability to travel to assigned clinic locations as assigned.
  • Experience with Athenahealth EHR/EMR preferred.
  • High School Diploma or equivalent required.
