Medical Office Manager - Exceptional Membership-Model Primary Care Practice
The Office Manager will provide the leadership skills to ensure that staff and physicians are providing the highest-quality patient experience. The Office Manager will lead the non-physician staff with an exemplary work ethic and attention to detail. They will be responsible for the daily operations of the office and interact with the physicians on a routine basis. This is an in-person position.
Essential Job Responsibilities:
- Establishes and maintains efficient workflows and operations.
- Ensures optimal management and operation of incoming calls and patient flow to provide an efficient and customer friendly experience.
- Follows meticulous attention to detail in managing customer interactions, minimizing errors and ensuring a consistently positive customer experience.
- Fosters a collaborative and positive work culture and accountability to enhance the productivity of the office and its employees.
- Addresses and resolves patient inquiries and complaints promptly and professionally.
- Serves as the primary point of contact for escalated patient issues, ensuring they are resolved to the patient's satisfaction.
- Develops guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary. Ensures that the office is staffed appropriately, and that attendance is monitored appropriately.
- Supports physician scheduling and the coverage schedule of physicians.
- Spearheads recruiting, hiring, orientation, development, and evaluation of support staff.
- Oversees and approves office supply inventory, ensures that mail is opened and processed, and the office is opened and closed according to procedures.
- Supports and upholds established policies, procedures, goals, quality improvement, safety, environmental and infection control, and codes and requirements of regulatory agencies.
- Oversees revenue cycle management to optimize billing and collections and reports in a timely manner.
- With support from accounting, must be able to create a budget, manage accounts payable and payroll in tandem with outsourced accountants, manage insurance policies, and other financial matters.
- Works with physician leadership to implement innovative practice growth and quality solutions, improving patient outcomes and satisfaction.
- Continuously seeks opportunities to improve office operations and customer service delivery.
- Ability to utilize software, spreadsheets, ADP, and Microsoft Office is required.
- Knowledge of Athena Electronic Health Record is a plus.
Qualifications:
- Management experience in a medical setting (2+ years)
- Knowledge of HIPAA regulations and medical terminology
- Budgeting experience within a healthcare environment
- Strong leadership skills with a background in supervising medical office staff
- Familiarity with EMR and EHR systems in a medical office setting
- Strong customer service skills knowledge of metrics to assess performance
- Coordinator and scheduling experience
- Ability to collaborate in a medical setting
