We are seeking a proactive, detail-oriented Medical Office Specialist to serve as the frontline for patient interactions and office coordination.

  • Can manage patient intake, scheduling, insurance verification, and front desk responsibilities

  • Works collaboratively with providers, clinical staff, and administrative teams
    This is not a trainee role. Prior experience in medical office operations, patient scheduling, and EMR use is required.

WHAT You Will Be Accountable For (Outcomes, Not Tasks)

Within the first 90 days, the successful candidate will:

  • Ensure smooth patient check-in, scheduling, and insurance verification processes

  • Maintain accurate and complete patient records in the EMR/CRM system

  • Collect co-pays and balances efficiently, ensuring accurate receipts

  • Provide coverage for the Front Desk Receptionist as needed

  • Communicate effectively with patients, providers, and internal teams

  • Identify gaps or inefficiencies in front desk operations and proactively resolve them

  • Uphold professional standards, HIPAA compliance, and patient satisfaction metrics

WHO You Must Be (Competencies & Traits)

  • 2+ years of customer service experience in a medical or office environment

  • High school diploma or GED (Associate’s degree preferred)

  • Organized, detail-oriented, and able to manage multiple priorities

  • Professional and courteous communicator

  • Calm under pressure and able to solve problems proactively

  • Proficient with Microsoft Office, Adobe Acrobat, EMR systems, and scheduling software

  • Committed to patient satisfaction and office excellence
