Multi-Site Interventional Radiology Practice (Remote)

Location: Remote (New York based candidates preferred)

Salary: $75,000 – $90,000 per year

Job Type: Full-Time

About Us

We are a growing interventional radiology practice with office-based labs across Queens, Bronx,

Manhattan, and Brooklyn, specializing in vascular and vein care. Our clinical team performs a wide range

of procedures including GAE, PAD, UFE, Varithena, and angiograms. We are focused on delivering high-

quality, patient-centered care while building a strong operational foundation to support continued

growth.

Position Overview

We are hiring a Practice Administrator to oversee clinical scheduling, patient flow, authorization

management, operational reporting, and general billing oversight across our New York sites. This role

requires a highly adept eClinicalWorks (eCW) user with strong skills in scheduling, tracking, and

reporting. This is a fully remote role with periodic site visits to our OBL locations as needed. The position

reports directly to leadership and works closely with physician partners, clinical staff, billing team, and

the operations team. We are looking for someone hands-on, organized, and ready to take ownership of

a role with strong growth potential.

Key Responsibilities

1. Oversee clinical scheduling across all OBL sites in eClinicalWorks (eCW), including provider

templates, procedure scheduling, consult scheduling, and patient flow coordination

2. Build, maintain, and run custom reports in eCW to track procedure volume, no-show rates,

consult-to-procedure conversion, provider utilization, and other key operational metrics

3. Manage patient tracking systems including consult trackers, procedure pipelines, follow-up

schedules, and status reporting for referring physicians

4. Oversee the prior authorization process, including tracking submissions, follow-ups, peer-to-

peer reviews, denials, and appeals to ensure procedures are authorized in a timely manner

5. Provide general billing oversight in coordination with the billing team, including monitoring

claim submissions, AR aging, denial trends, and payor performance

6. Optimize scheduling templates and workflows to maximize provider efficiency and patient

access across multiple sites

7. Coordinate pre-procedure workflows including authorization tracking, lab requirements,

imaging coordination, and patient preparation

8. Support compliance initiatives, including Stark Law, Anti-Kickback Statute, and HIPAA

documentation

9. Assist with contract administration, including space licensing agreements, independent

contractor agreements, and vendor contracts

10. Provide leadership with regular operational and financial reports drawn from eCW and other

practice systems

11. Manage referral coordination and physician outreach support, including podiatrist and primary

care referral relationships

12. Conduct periodic site visits to OBL locations across New York as operational needs require

Qualifications

1. 5+ years of experience in healthcare practice administration, clinical operations, or scheduling

management

2. Advanced proficiency in eClinicalWorks (eCW) is required, including scheduling, templates,

custom reporting, and dashboard creation

3. Strong working knowledge of prior authorization processes, including commercial and

Medicare/Medicaid authorization requirements

4. Working understanding of medical billing, including CPT/ICD-10 coding, claim submission, AR

management, and denial workflows

5. Demonstrated experience building and running operational reports from EHR systems

6. Familiarity with healthcare compliance frameworks (Stark, AKS, HIPAA)

7. Experience with multi-site practice operations strongly preferred

8. Background in interventional radiology, cardiology, vascular, or office-based lab settings is a

strong plus

9. Proven ability to work independently in a remote environment with strong self-management

skills

10. Excellent written and verbal communication skills

11. Highly organized with strong attention to detail

12. Proficient in Excel and standard office productivity tools

13. Bachelor's degree preferred

14. Must be located in the New York metro area and able to travel to OBL sites as needed
