This position is responsible for ensuring the accuracy, completeness, and regulatory compliance of medical records while providing administrative and clinical support to the Nursing Director. Responsibilities include maintaining medical documentation systems, auditing records for compliance with licensing and accreditation standards, coordinating health documentation, and assisting with nursing-related administrative and clinical functions
Requirements
Maintains oversight of all student medical records to ensure compliance with state, federal, accreditation, and insurance standards
Conducts daily audits of medical charts to ensure completeness, accuracy, and timeliness of documentation
Reviews all paraprofessional notes, prepares and approves them for inclusion in the medical record.
Tracks and follows up on missing, incomplete, or noncompliant documentation with nursing, clinical, admin, and paraprofessional staff
Ensures all required medical forms, consents, medication records, and treatment documentation are properly completed and filed
Manages electronic medical records (EMR) systems (e.g., BlueStep), including scanning, uploading, and organizing medical and intake documentation
Assists the Nursing Director with administrative tasks, including scheduling, reporting, compliance tracking, and preparation for audits or site visits
Assists the Nursing Director with nursing tasks under their supervision.
Prepares documentation and reports for internal quality assurance, risk management, and external audits
Supports medication documentation processes, including MAR audits and verification of proper entries
Coordinates with clinical, field, and administrative teams to ensure timely flow of medical information
Maintains strict confidentiality and adheres to HIPAA standards in all handling of medical records
Assists with incident report documentation related to medical or health-related events
Supports admission and intake processes by ensuring all required medical documentation is obtained prior to student admission
Assists in maintaining medical supply tracking logs and supporting nursing operations as directed
Provides general administrative support to the nursing department as needed

This job operates in a professional office environment.
This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Required education and experience:
High School Diploma or equivalent
Two years of administrative office assistant experience
Preferred education and experience
Medical Certification (CNA, EMT, WFR, PCT, CMA)
Experience in behavioral health or residential treatment settings
Additional eligibility qualifications
Proficient with Microsoft Office, Google Workspace, and EMR systems
Ability to pass Background Criminal Investigation per State of Utah requirements
Valid driver's license
