Our plastic surgery practice is seeking a dedicated and compassionate Medical Receptionist to join our team. This individual will play a crucial role in enhancing the patient experience by providing exceptional care and support throughout their surgical journey. The ideal candidate will have a strong background in customer service, excellent communication skills and a genuine desire to help others feel their best.

About Us:
We are a boutique plastic surgery practice located in South Tampa offering the full breadth of aesthetic surgery, injectables, and oncologic breast reconstruction. This is a single surgeon practice that opened in September 2023. We are growing rapidly and looking for a talented, energetic team member to join and grow with us.
Responsibilities (includes but not limited to the following):
- Opens and closes the office each day, according to protocol
- Answers the telephone pleasantly, and by the third ring as often as possible
- Appropriately discusses cosmetic consultations, cosmetic procedures and skin care services with prospective patients over the phone and encourages them to schedule an appointment
- Schedules patient appointments and sends new patient paperwork/email to new patients
- Asks all new patients how they heard about the physician; records this information in the practice's database
- Responds to internet inquiries within minutes of receiving them
- Prepares charts, superbills, and/or EHR for office appointments
- Greets patients at the front desk and checks them in
- Ensures all patient paperwork is complete before patient arrives for appointment
- Collects payments for consultations, skin care and med spa services; posts charges and payments into the computer daily and schedules follow up appointments, as needed. Provides computerized receipt to patients.
Additional Duties
- Assist with social media marketing, creation of printed marketing materials using Canva, and local marketing activities
- Track office supply and medical supply inventory
- Screens visitors and responds to routine requests for information
- Ensures all faxes are distributed throughout the day
- Keeps the patient reception area neat and clean at all times throughout the day, and ensures that refreshments are stocked
- Ensures breakroom, patient rooms, and bathrooms are clean and organized
- Facilitates any physician requests throughout the day
- Maintains proficiency with EHR, imaging software, and internet applications
Qualifications and Requirements:
- For successful performance in this role, the Medical Receptionist needs to execute all core responsibilities effectively. The qualifications outlined below reflect the necessary knowledge, skills, and abilities for the job.
- Three years’ experience in hospitality, retail, medical office, plastic surgery or other customer service position .
- Comfortable using email, social media and interacting with Internet applications
- Ability to perform multiple and diverse tasks simultaneously
- Proven experience with proactive customer service and service recovery
- Familiarity with scheduling and rearranging appointments
- Pleasant speaking voice and demeanor – excellent telephone skills
- Neat, professional appearance
- Knowledge of medical terminology
- Good time management skills to adapt to periods of high and low workload
- Strong written and verbal communication skills and the ability to effectively present information and respond to questions from patients, physicians, and staff.
- Ability to write reports and summarize correspondence with patients
- Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals
- Must be familiar with MS Office, including Excel
- Must be familiar with EMR systems (either PatientNow, Nextech or ModMed)

Pay: $23.00 - $25.00 per hour
