Medical Receptionist / Certified Medical Assistant (Hybrid Front Desk & Clinical Position)

Position OverviewWe are seeking a dedicated and compassionate Medical Receptionist / Certified Medical Assistant to join our healthcare team. This hybrid role combines front office responsibilities with clinical support duties to ensure exceptional patient experiences and efficient clinic operations. The ideal candidate will possess strong customer service skills, medical office experience, and the ability to provide high-quality patient care in a fast-paced healthcare environment. Experience in primary care, mental health, or community health settings is preferred.

Essential Duties and Responsibilities

Front Desk / Reception Responsibilities

  • Greet patients, visitors, and vendors in a professional and welcoming manner.
  • Answer incoming phone calls, route messages appropriately, and assist patients with inquiries.
  • Schedule, reschedule, and confirm patient appointments.
  • Verify patient demographics, insurance information, and eligibility.
  • Register new patients and maintain accurate electronic health records.
  • Collect copayments, balances, and other required documentation.
  • Assist with patient check-in and check-out processes.
  • Manage incoming faxes, mail, and electronic communications.
  • Maintain confidentiality and compliance with HIPAA regulations.
  • Provide exceptional customer service while addressing patient concerns and needs.

Clinical Medical Assistant Responsibilities

  • Assist healthcare providers with patient examinations and procedures.
  • Prepare examination rooms and ensure necessary supplies are available.
  • Perform routine clinical tasks including:
  • Taking and documenting vital signs
  • Recording medical histories
  • Updating medication and allergy information
  • Preparing patients for examinations and treatments
  • Administer diagnostic tests and screenings as directed.
  • Perform point-of-care testing and specimen collection as permitted by training and clinic policy.
  • Document patient information accurately within the electronic medical record.
  • Coordinate patient care needs with providers and nursing staff.
  • Ensure compliance with infection control, safety standards, and clinic protocols.
  • Maintain cleanliness and organization of clinical areas.

General Responsibilities

  • Collaborate with providers, nurses, behavioral health staff, dental staff, and administrative team members to ensure coordinated patient care.
  • Support quality improvement initiatives and clinic goals.
  • Participate in staff meetings, trainings, and continuing education opportunities.
  • Demonstrate professionalism, compassion, and respect in all patient and staff interactions.
  • Perform other duties as assigned to meet the operational needs of the clinic.

Qualifications

  • Certified Medical Assistant (CMA, RMA, or equivalent) preferred.
  • High school diploma or equivalent required.
  • Previous experience in a medical office, clinic, primary care, behavioral health, or community health setting preferred.
  • Strong knowledge of medical terminology and basic physiology.
  • Experience with electronic medical records (EMR/EHR) systems preferred.
  • Proficiency in Microsoft Office and general computer skills.
  • Excellent customer service, communication, and organizational skills.
  • Ability to multitask and work efficiently in a fast-paced environment.
  • Ability to maintain patient confidentiality and professionalism at all times.

Physical Requirements

  • Ability to stand, walk, bend, and sit for extended periods.
  • Ability to lift up to 25 pounds occasionally.
  • Ability to perform clinical tasks requiring manual dexterity and visual acuity.
