Medical Receptionist

We are seeking motivated, customer-service oriented candidates who will thrive in a dynamic, fast-paced environment to join our Medical Receptionist team. Ideal candidates are positive, organized professionals who strive to provide quality, patient-centered care.

Essential Duties and Responsibilities: The Medical Receptionist supports the other administrative and clinical staff as the first and last point of contact for patients and visitors. Serves as a liaison between the patient, medical support staff, and physicians. This is a customer service orientated position that is responsible for greeting patients, preparing patient charts, requesting and receiving payments, answering telephone lines, and scheduling patient appointments while maintaining patient confidentiality.

Job Responsibilities:

  • Greets patients and visitors promptly in a courteous, professional, and helpful manner.
  • Register and check-in patients, verifying and updating necessary information in patient record.
  • Provide patients with information regarding HIPAA, Privacy Practices, clinic policies, and payment obligations. Collects all required forms and signatures.
  • Maintain appointment schedules. Confirm appointments, verify insurance coverage, and ensure appointments adhere to each clinics scheduling guidelines.
  • Assist patients with referrals and obtaining appointments at other physician and hospital sites as needed.
  • Collect cash, check, or credit card payments ensuring patients receive receipts of payment.
  • Retrieve and maintain patient records- pull patient charts, file information correctly into patient charts, and maintain filing system. Prepare charts to clinic specifications.
  • Handle incoming and outgoing calls on a high volume telephone line. Screen calls, take accurate and detailed messages, and direct calls to appropriate staff as needed.
  • Conform to all HIPAA and OSHA regulations and maintain strict patient confidentiality.
  • Operate basic office equipment.

Skills and Qualifications:

  • Must possess, as a minimum, a high school diploma/GED.
  • One year experience in customer service setting, ideally in a medical office, is preferred.
  • Knowledge of the medical and healthcare is preferred.
  • Strong organizational, analytical, and interpersonal skills.
  • Exceptional written and verbal communication skills.
  • Excellent telephone and customer service skills.
  • Ability to work independently but also work effectively with others as a team to accomplish objectives and goals.
  • Demonstrated self-motivation, initiative, and time management skills.
  • Ability to multi-task and follow schedules.
  • Proficiency using software programs such as MS Word, PowerPoint, Excel, Outlook and Electronic Medical Records is preferred.
  • Strong computer and keyboarding skills, with the ability to type a minimum of 25 words per minute (WPM).

Environmental/Physical Requirements: While performing the duties of this job, the employee is regularly required to maintain active customer and staff communication; access, input and retrieve information from the computer system; enter alpha-numeric data into a computerized system often while listening on the telephone. Employee may be subject to repetitive motion such as typing, data entry and vision to monitor. Employee may be subject to sitting, standing, walking, bending, reaching, kneeling, stooping, light lifting up to thirty (30) pounds.
