Respiratory Front Desk & Office Operations Coordinator
Job Summary
We are seeking a dependable and highly organized Front Desk & Office Operations Coordinator to serve as the central point of responsibility for daily front‑office operations. This role combines excellent customer service with strong operational accountability and is ideal for someone who takes pride in keeping an office running smoothly, efficiently, and professionally.
The ideal candidate will demonstrate independence, strong focus, and the ability to multitask effectively while delivering outstanding service to patients both in person and by phone.
Core Responsibilities
- Serve as the primary front‑office contact for patients and visitors
- Manage daily patient check‑in and check‑out processes accurately
- Verify insurance eligibility, benefits, deductibles, and patient responsibility
- Maintain complete and accurate patient demographic and financial information
- Clearly explain insurance coverage, sleep/DME equipment requirements, and payment expectations
- Schedule, confirm, and manage patient appointments
- Answer incoming calls, respond to inquiries, and document interactions thoroughly
- Monitor daily schedules and patient flow to support smooth front‑office operations
- Maintain organized records, documentation, and front‑office systems
- Identify workflow issues and address them proactively
- Communicate operational needs or concerns to leadership as needed
What This Role Owns
- Accuracy and consistency of front‑office workflows
- Daily organization and operational readiness of the office
- Patient experience at the front desk and over the phone
- Timely communication and documentation in Brightree and related systems
Required Experience & Skills
- Must proven experience using Brightree
- Must have DME experience, preferably with sleep products (CPAP, BiPAP, supplies, etc.)
- Strong working knowledge of Microsoft products, including Outlook, Teams, and other Office applications
- Ability to multitask effectively while maintaining accuracy and professionalism
- Outstanding customer service skills, both in person and by phone
- Comfortable using a computer, headset, and basic office technology
- Able to independently troubleshoot common issues (e.g., headset not working, system logout, basic connectivity issues)
- Willing to learn new systems and follow technical instructions
- Strong attention to detail and organizational skills
- Ability to work independently and take accountability for daily responsibilities
Preferred Qualifications
- Previous experience in healthcare, medical office, or DME setting
- Familiarity with insurance verification and payer portals
- Comfort using multiple systems simultaneously in a fast‑paced environment

Schedule
- Monday–Friday-8:30 - 5pm
- No flexibility or alternative schedules available
- On-site in Westmont, IL
