Job Summary
We are seeking an organized, empathetic, and professional Medical Receptionist to join our front office team. As the first point of contact for our facility, you will play a critical role in managing patient flow, delivering exceptional customer service, and providing essential administrative support. The ideal candidate can balance a fast-paced environment while strictly adhering to privacy regulations and facility protocols.Core ResponsibilitiesPatient Coordination & Service
- Greet patients and visitors warmly in person or on the phone to create a welcoming environment.
- Manage check-in and check-out procedures efficiently.
- Distribute intake forms and ensure patients complete required digital or paper documents.
- Comfort distressed patients by answering questions and minimizing anxieties in the waiting area.
Scheduling & Communication
- Schedule appointments utilizing practice management software to optimize provider schedules.
- Field phone traffic by answering multi-line systems, taking detailed messages, and routing calls.
- Conduct confirmation calls and send appointment reminders to patients.
- Liaise with providers to communicate delays, patient arrivals, or urgent scheduling updates.
Documentation & Financial Administration
- Verify insurance eligibility and assist patients with demographic paperwork.
- Collect copayments, deductibles, and outstanding balances at the time of service.
- Maintain electronic records (EHR/EMR) by scanning, indexing, and updating patient history securely.
- Uphold HIPAA compliance protocols strictly to safeguard sensitive financial and health information.
Facility Support
- Organize the front desk and clean the lobby area to maintain a professional appearance.
- Monitor office inventory to track, order, and restock essential supplies.
Requirements & Qualifications
- High School Diploma or equivalent GED required; an associate degree is preferred.
- Prior administrative experience (1–2 years) in a clinic, hospital, or high-volume customer service setting.
- EHR/EMR software proficiency or strong computer literacy with medical scheduling systems.
- Basic medical terminology knowledge is highly preferred.
- Strong multitasking skills to handle a fast-paced medical front office.
- Excellent communication skills, with bilingual abilities (e.g., Spanish/English) considered a strong asset.
Job Type: Full-time
Pay: $13.00 - $15.00 per hour
