Medical Receptionist/Medical Assistant

Job Summary

We are seeking an organized, empathetic, and professional Medical Receptionist to join our front office team. As the first point of contact for our facility, you will play a critical role in managing patient flow, delivering exceptional customer service, and providing essential administrative support. The ideal candidate can balance a fast-paced environment while strictly adhering to privacy regulations and facility protocols.Core ResponsibilitiesPatient Coordination & Service

  • Greet patients and visitors warmly in person or on the phone to create a welcoming environment.
  • Manage check-in and check-out procedures efficiently.
  • Distribute intake forms and ensure patients complete required digital or paper documents.
  • Comfort distressed patients by answering questions and minimizing anxieties in the waiting area.

Scheduling & Communication

  • Schedule appointments utilizing practice management software to optimize provider schedules.
  • Field phone traffic by answering multi-line systems, taking detailed messages, and routing calls.
  • Conduct confirmation calls and send appointment reminders to patients.
  • Liaise with providers to communicate delays, patient arrivals, or urgent scheduling updates.

Documentation & Financial Administration

  • Verify insurance eligibility and assist patients with demographic paperwork.
  • Collect copayments, deductibles, and outstanding balances at the time of service.
  • Maintain electronic records (EHR/EMR) by scanning, indexing, and updating patient history securely.
  • Uphold HIPAA compliance protocols strictly to safeguard sensitive financial and health information.

Facility Support

  • Organize the front desk and clean the lobby area to maintain a professional appearance.
  • Monitor office inventory to track, order, and restock essential supplies.

Requirements & Qualifications

  • High School Diploma or equivalent GED required; an associate degree is preferred.
  • Prior administrative experience (1–2 years) in a clinic, hospital, or high-volume customer service setting.
  • EHR/EMR software proficiency or strong computer literacy with medical scheduling systems.
  • Basic medical terminology knowledge is highly preferred.
  • Strong multitasking skills to handle a fast-paced medical front office.
  • Excellent communication skills, with bilingual abilities (e.g., Spanish/English) considered a strong asset.

Job Type: Full-time

Pay: $13.00 - $15.00 per hour
