Medical Scribe and Assistant

Overview:

Join our team at NYC Traumatic Brain Injury Center! We operate multiple locations in Elmhurst, Brooklyn Heights, and Manhattan. We are offering a full-time position in our Brooklyn Center with an attractive compensation package and benefits package that includes Medical Insurance, 401K savings plan with matching contributions, paid time off, vacation, holidays, working from Monday through Friday from 9 am to 5 pm, to a fully Bilingual (Spanish - English) Assistant to the Psychologist.

Bilingual proficiency in Spanish and English is required and mandatory for this role. Candidates must demonstrate proficiency in speaking, reading, and writing in both languages.

We are seeking a skilled Assistant/Scribe to one of our Neuropsychologists. The ideal candidate will have a strong background in research, commyunication skills, writing, data analysis, and statistical software, with a focus on clinical research and data collection.

Job Summary

Medical Scribe – Duties & Job Overview

A medical scribe provides real-time documentation support to physicians and other healthcare providers, allowing them to focus on patient care.

Core Responsibilities

  • Document patient encounters in the Electronic Medical Record (EMR) during visits
  • Accurately record:
  • History of Present Illness (HPI)
  • Review of Systems (ROS)
  • Physical exam findings
  • Assessment and Plan
  • Transcribe physician dictation into structured clinical notes
  • Enter orders for physician review (labs, imaging, referrals)
  • Retrieve prior medical records, labs, and imaging results
  • Ensure documentation meets legal, compliance, and billing standards
  • Assist with chart completion and closing encounters

Patient Coordination

  • Greet patients and maintain a welcoming, professional office environment
  • Follow up with patients regarding appointments, documentation, or referrals
  • Coordinate communication with other healthcare providers as needed

Medical Assistant (MA) – Duties & Job Overview

A medical assistant supports both clinical and administrative operations within a healthcare setting.

Clinical Responsibilities

  • Prepare patients for intakes and testing
  • Assist providers during exams
  • Perform basic clinical tasks:
  • Document patient information in EMR
  • Provide patient education and instructions
  • Administrative Responsibilities
  • Schedule appointments and manage calendars
  • Verify insurance and obtain authorizations
  • Handle patient intake and registration
  • Manage phone calls, messages, and follow-ups
  • Coordinate referrals and outside records

Combined Role (Scribe + Medical Assistant)

In many practices, especially outpatient or neuro/rehab settings, roles may overlap.

Integrated Duties

  • Scribing during patient visits
  • Rooming patients and collecting data
  • Managing patient flow and provider schedules
  • Assisting with documentation and orders
  • Coordinating care (referrals, therapy)
  • Supporting billing readiness (complete charts, required forms)

Typical Work Environment

  • Outpatient clinics (e.g., neurology, neuropsychology, primary care)
  • Hospitals or urgent care centers
  • Private practices

Certifications (Optional but Preferred)

  • Medical Assistant: CMA (AAMA), RMA
  • Scribe: Certification through organizations like American Healthcare Documentation Professionals Group

Qualifications

  • Bachelor’s degree in Psychology or a related field preferred
  • Previous administrative or healthcare experience is a plus
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office and/or electronic health record (EHR) systems
  • Ability to handle confidential information with discretion
