Position Summary
Dr. Arshad Health Associates is seeking a professional, organized, and customer-focused Medical Services Coordinator for its Karachi Branch. The ideal candidate will be responsible for managing front desk operations, patient coordination, appointment scheduling, administrative support, and ensuring smooth communication between patients, medical staff, and management.
The position also requires handling and coordination of Australian Immigration Medical Examinations, ensuring proper documentation, patient guidance, appointment management, and coordination with relevant departments in accordance with immigration medical protocols and clinic standards.
Key Responsibilities
Front Desk & Reception Duties
· Welcome and assist patients and visitors in a professional manner.
· Manage patient registration, check-ins, and appointment scheduling.
· Handle incoming calls, emails, and patient inquiries efficiently.
· Maintain patient records and appointment logs accurately.
· Ensure cleanliness and proper organization of the reception and waiting areas.
· Guide patients regarding medical procedures, documentation requirements, and clinic processes.
Coordination and Finalization of Medicals
· Handle and coordinate all medical cases as per clinic protocols.
· Schedule and manage appointments for medical examinations.
· Guide applicants regarding required documents, medical procedures, and process flow.
· Coordinate with panel physicians, laboratory, radiology, and nursing departments for smooth processing of immigration cases.
· Ensure timely completion and submission of medical records and reports.
· Maintain confidentiality and accuracy of documentation.
· Follow up with applicants regarding pending tests, reports, and medical clearance status.
Coordination Responsibilities
· Coordinate between doctors, nursing staff, laboratory personnel, radiology staff, and patients.
· Assist in arranging medical camps, corporate visits, and branch activities when required.
· Ensure smooth patient flow and minimize waiting time.
· Maintain daily operational and coordination reports for management review.
· Coordinate with HR and administration regarding operational matters and staff support.
Administrative Duties
· Prepare and manage documentation, reports, and official correspondence.
· Support billing, invoicing, and cash handling procedures where applicable.
· Maintain office supplies and front desk inventory.
· Ensure confidentiality of patient and organizational information.
· Ensure compliance with company policies, healthcare standards, and administrative procedures.
Required Qualifications and Skills
· Minimum Intermediate / Bachelor’s degree preferred.
· Minimum 1–2 years of relevant experience in a hospital, clinic, diagnostic center, or immigration medical center preferred.
· Proficiency in MS Office and basic computer operations.
· Excellent communication and interpersonal skills.
· Strong customer service orientation.
· Professional appearance and conduct.
· Ability to manage multiple tasks in a fast-paced healthcare environment.
· Strong organizational and coordination skills.
· Ability to maintain confidentiality and handle sensitive information.
· Basic understanding of medical terminology and immigration medical workflows will be an added advantage.
Pay: Rs55,000.00 - Rs65,000.00 per month
