Medical/Office Assistant

Summary
Serves in a dual role as Medical Assistant and Office Manager within a mobile geriatric primary care practice that delivers in-home and facility-based medical services to older adults. Clinical duties include measuring vital signs, recording patient medical history, assisting with examinations and procedures, and managing mobile medical supplies and equipment. Administrative and office management duties include overseeing daily office operations, creating and maintaining patient charts, answering and routing phone calls, managing incoming and outgoing faxes, scheduling and coordinating mobile patient visits, processing referrals, and ensuring the smooth functioning of all back-end office processes. This role requires regular travel to patient homes, assisted living facilities, skilled nursing facilities, group homes, and other community-based settings.

Physical Requirements:

Requires considerable physical effort most of the day including kneeling, squatting, reaching, twisting, climbing stairs, walking on uneven surfaces, and maximal assist in lifting and/or transferring of a 100-pound patient. Must be able to carry and transport mobile medical equipment and supplies to and from patient locations. Must possess sight/hearing senses or use appropriate adaptive devices that will enable senses to function at a level required to meet the essential duties of the position. Must provide evidence of annual TB test and other state-required tests or examinations.

Mental Requirements:

Must be able to work independently in the field with limited immediate supervision, make judgments based on assessments and data available, and act accordingly. Must be flexible, innovative, and possess good interpersonal skills. Must be able to cope with mental and emotional stress and demonstrate emotional stability. Must be comfortable navigating sensitive situations involving elderly patients, family dynamics, end-of-life care, and cognitive impairment. Must be able to manage multiple administrative workflows simultaneously while maintaining accuracy.

Working Conditions:

Work is performed in a variety of non-traditional clinical settings, including private homes, assisted living facilities, skilled nursing facilities, group homes, and other community locations. Conditions may vary and include exposure to odors, blood, body fluids and excrements, pets, varying levels of cleanliness, temperature extremes, and hazardous materials. Extended periods of driving are required. Office-based work includes extended periods of computer and telephone use.

Transportation:

Must have a current valid driver's license, auto liability insurance, and reliable transportation. Must be willing and able to travel throughout the service area daily, including in varied weather and traffic conditions.

ESSENTIAL FUNCTIONS:

Clinical Duties — Mobile/Field:

  • Travel with or independently to patient homes, assisted living facilities, skilled nursing facilities, and group homes to deliver care and assist the providers
  • Set up mobile examination area in the patient's environment, ensuring a clean, safe, and dignified space for the visit
  • Prepare patients for examination, take vitals (blood pressure, heart rate, respiratory rate, temperature, oxygen saturation, weight), and record patient health history
  • Administer injections and medications, and perform routine specimen collection and point-of-care tests
  • Draw blood, remove sutures, and change dressings in the home or facility setting
  • Perform routine screening tests, including height and weight measurements, blood pressure checks, cognitive screens, fall risk assessments, and depression screenings as directed
  • Assist physician or nurse practitioner with medical treatments, procedures, and exams
  • Take notes during patient visits and document them in the electronic health records system, ensuring accurate and timely closing of notes
  • Ability to observe and draft a narrative account of events accurately, including observations of the patient's home environment, safety concerns, and functional status
  • Communicate with family members, caregivers, and facility staff regarding care plans, follow-up instructions, and any concerns observed during the visit
  • Assist with coordination of care among specialists, home health agencies, hospice, pharmacy, and durable medical equipment providers
  • Prepare, clean, and restock mobile medical supplies and equipment before and after each visit day
  • Properly handle, label, transport, and deliver specimens to the laboratory in compliance with applicable regulations
  • Assist with telehealth visits as needed, including patient setup and technology troubleshooting

Clinical Duties — General:

  • Prepare equipment and clean/sterilize instruments per infection control protocols
  • Manage inventory of mobile medical supplies, ensuring all kits and bags are fully stocked and equipment is in working order
  • Monitor medication lists and assist with medication reconciliation as directed
  • Recognize and report signs of elder abuse, neglect, or unsafe living conditions per mandatory reporting requirements

Office Management Administrative Duties:

  • Create, organize, and maintain patient charts in the electronic health records system, ensuring completeness and accuracy of all demographic, insurance, and clinical information
  • Answer, screen, and direct incoming phone calls and text messages in a professional and courteous manner; take and relay messages accurately and promptly
  • Manage all incoming and outgoing faxes through the provider's fax platform (e.g., UpDox), including reviewing, routing, filing, and responding to faxed documents such as referrals, lab results, prior authorizations, and medical records requests
  • Schedule and coordinate mobile patient visits, optimizing routing and travel logistics for efficiency
  • Verify patient eligibility and benefits, with particular attention to Medicare, Medicaid, Medicare Advantage plans, and supplemental insurance plans
  • Obtain necessary patient information to file and update patient records
  • Ensure all forms, consents, advance directives, and intake paperwork are completed by patients or their legal representatives
  • Assist with referral processing and arrange laboratory, imaging, home health, hospice, and durable medical equipment services
  • Coordinate and track prior authorizations with insurance companies
  • Manage incoming and outgoing mail and correspondence
  • Oversee office supply inventory and ordering, in addition to mobile medical supply inventory
  • Maintain organized filing systems for both electronic and paper records
  • Monitor and manage office voicemail, ensuring timely follow-up
  • Assist with billing inquiries, patient account questions, and payment collection as needed
  • Coordinate with vendors, labs, pharmacies, facilities, home health agencies, and external offices
  • Help ensure compliance with HIPAA, OSHA, and other applicable regulations in daily office and field operations
  • Perform other related duties as assigned or requested

SKILLS:

  • Able to speak and write English clearly and make self understood
  • Correct grammar, spelling skills, medical terminology, and legible writing
  • Skilled in answering the telephone in a pleasant and helpful manner
  • Able to read, understand, and follow oral and written instructions
  • Proficient in EHR systems, fax management platforms, telehealth technology, and general office software (e.g., Microsoft Office, email)

  • Excellent organizational and time-management skills, particularly in managing mobile visit logistics
