Medspa Front Office Patient Coordinator & Administrative Support

Position Summary

The Front Office Patient Coordinator & Administrative Support is the sole

administrative professional supporting a single-practitioner boutique luxury

medical spa. This high-impact, versatile role serves as the welcoming first

impression, operational backbone, and key right-hand partner to the practitioner.

The ideal candidate is a polished, detail-oriented professional who delivers

exceptional white-glove service while independently managing all front-office

operations, patient flow, scheduling, and daily practice administration in a fast-

paced, aesthetics-focused environment.

This is a true “one-person front office” position where you will own the complete

patient experience from first contact through follow-up, while ensuring the

practice runs smoothly with minimal supervision.

Essential Duties and Responsibilities

  • Independently manage all scheduling, patient check-in/out procedures, and

front-office communication

  • Maximize bookings, optimize the daily schedule, and keep the entire day

running smoothly and efficiently for the single practitioner

  • Guide patients on treatments, skincare recommendations, and aftercare

instructions with a high level of product and service knowledge

  • Support clinical charting, inventory management, supply ordering, and overall

office workflow

  • Assist with social media content creation, patient engagement initiatives, and

practice marketing efforts

  • Handle additional administrative tasks as needed to support the smooth

operation of a small, single-provider practice

Qualifications & Requirements

You Are:

  • Highly engaging and professional with a warm, polished presence that reflects

the luxury brand

  • Extremely organized, detail-obsessed, proactive, and able to work independently with minimal supervision
  • A self-starter who thrives in a small-team environment and is comfortable

wearing multiple hats

  • Experienced in a med spa, aesthetics, cosmetic practice, or luxury service environment (strongly preferred)
  • Tech-savvy with strong proficiency in Excel, Word, Canva, Square, and general practice management software
  • Ability to type over 40 wpm

Education & Experience:

  • College degree in a health/science related related preferred
  • Minimum 2 years of front-office, administrative, or customer service experience, ideally in a medical aesthetics, cosmetic, or small medical practice setting preferred

Compensation & Benefits

  • Hourly Rate: $25.00 – $30.00 per hour (depending on experience)
  • Performance Bonuses
  • Benefits eligibility after 90 days: Medical, Dental, and Vision insurance
  • 401(k) plan with 1-year vesting
  • Monday–Friday schedule
  • Light weekend communication required (approximately 2–3 hours)

Additional Information

  • This is a full-time, in-person position located in Old Town Scottsdale
  • Employment is at-will and subject to all company policies and procedures
  • As the only administrative support for a single practitioner, this role requires a high degree of autonomy, reliability, and dedication to the success of the entire practice

Pay: $25.00 - $30.00 per hour
