Job Summary
We are seeking a polished and customer-focused Member Services Representative (Front Desk) to serve as the welcoming presence of our office. In this role, you will manage front desk operations while supporting a range of administrative and clerical functions that keep daily operations running smoothly.
As the first point of contact for residents, guests, and vendors, you will play a key role in creating a warm, professional, and attentive experience. The ideal candidate thrives in a fast-paced environment and is known for delivering exceptional service, staying organized, and managing multiple priorities with ease. Strong attention to detail, sound judgment, proactive follow-through, and comfort with technology are essential.
This is a full-time opportunity within a prestigious, self-managed private residential community near Laguna Beach.
Responsibilities
- Greet visitors, members, and vendors warmly, ensuring they feel welcomed and comfortable upon arrival
- Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel with professionalism
- Handle incoming inquiries via phone, email, or in person with clear, timely communication and excellent customer service skills
- Process new escrows and tenant applications, including HOA document preparation and deposit and fee collection.
- Maintain front desk area by keeping it organized, tidy, and stocked with necessary supplies
- Receive mail and packages and send them to appropriate destinations in a timely manner.
- Support office operations by preparing and managing outgoing mail, maintaining accurate resident information, maintenance of office equipment, supply ordering, and other duties as assigned.
- Provide general office support including scanning, filing, data entry, proofreading documents, and managing correspondence.
- Assist Recreation/Events Coordinator with Community Events as needed.
- Perform other related duties and assignments as required in support of front office operations, the Director of Office & Member Services, and the Community Manager.
Experience
- Previous office experience or clerical experience demonstrating strong organizational skills and attention to detail
- Proven customer service background with excellent phone etiquette and interpersonal skills
- Familiarity with multi-line phone systems and general office procedures
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), and general computer literacy
- Ability to manage time effectively in a busy environment while maintaining professionalism and courtesy
