Mental Health Receptionist/Office Assistant

Job Summary
We are seeking a dynamic and compassionate Mental Health Receptionist/Office Assistant to join our dedicated mental health practice. In this vital role, you will serve as the first point of contact for patients and visitors, providing exceptional customer service while managing administrative tasks with efficiency and professionalism. Responsibilities

  • Greet patients and visitors warmly, ensuring a positive first impression and smooth check-in process
  • Manage appointment scheduling using electronic health record (EHR) systems such as Epic, Meditech, or Athenahealth
  • Verify insurance coverage, perform insurance eligibility checks, and assist with insurance verification procedures
  • Handle multi-line phone systems with professional phone etiquette, directing calls appropriately and taking detailed messages
  • Maintain accurate medical records, including documentation review and filing of patient information in compliance with HIPAA regulations
  • Assist with medical billing and collection processes, including coding (CPT, ICD-9, ICD-10) and medical documentation review
  • Support clinical staff with administrative tasks such as intake forms, care plan documentation, and medical record management
  • Utilize computer skills to update patient information in EMR systems like eClinicalWorks or Dentrix, ensuring data accuracy and confidentiality
  • Perform clerical duties such as filing, data entry (including 10 key typing), and managing office supplies to keep the front desk organized and efficient

Requirements

  • Prior experience in a medical office setting or healthcare environment, preferably within mental health or clinic operations
  • Strong knowledge of medical terminology, ICD coding (ICD-9/ICD-10), CPT coding, and medical billing procedures
  • Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks or similar platforms
  • Excellent customer service skills combined with professional phone etiquette and clear communication abilities
  • Ability to handle sensitive patient information in accordance with HIPAA standards and maintain confidentiality at all times
  • Bilingual skills are highly desirable to serve diverse patient populations effectively
  • Proficiency in Microsoft Office Suite (Word, Excel) for documentation and administrative support tasks
  • Strong organizational skills with attention to detail for accurate documentation review and record keeping
  • Office management experience including appointment scheduling, insurance verification, and front desk operations
