About the Role

We are looking for a Microsoft 365 License Analyst to assess, optimize, and rationalize M365 licensing across a multi-user environment. This role focuses on cost optimization, usage analysis, and compliance alignment, ensuring the organization is paying for the right licenses—no more, no less.

You will work closely with IT, security, and business stakeholders to translate usage data into actionable licensing recommendations.

Key Responsibilities

  • Analyze current Microsoft 365 licensing (E3, E5, Business Premium, add-ons, etc.)
  • Review user activity and feature utilization across Exchange, Teams, SharePoint, OneDrive, Power Platform, and Security
  • Identify under-utilized, unused, or misassigned licenses
  • Recommend license right-sizing and consolidation opportunities
  • Assess licensing needs against security, compliance, and business requirements
  • Create a license optimization roadmap with clear cost-savings estimates
  • Support license governance models (role-based licensing, joiner/mover/leaver processes)
  • Work with procurement or vendors to support renewal and true-up discussions
  • Document findings in executive-ready summaries and dashboards

Required Skills & Experience

  • Strong hands-on experience with Microsoft 365 licensing models
  • Solid understanding of E3 vs E5, Business vs Enterprise plans, and common add-ons
  • Experience using Microsoft 365 Admin Center, Entra ID (Azure AD), and usage reports
  • Familiarity with security & compliance features (Defender, Purview, Intune – at a high level)
  • Ability to translate technical findings into business and financial impact
  • Experience in license cost optimization or IT financial management
  • Excellent documentation and stakeholder communication skills

Nice to Have

  • Experience with M&A, tenant consolidation, or carve-outs
  • Exposure to Power BI or Excel-based license analytics
  • Microsoft certifications (MS-900, SC-900, AZ-104, or similar)
  • Experience working with CSPs or Microsoft partners

Deliverables

  • Current-state M365 license inventory & usage analysis
  • Identified cost-saving opportunities and risk areas
  • Future-state licensing recommendation by user role
  • License governance and optimization playbook
  • Executive summary with estimated savings and next steps
