Mid-Level Executive – Administration & Project Coordination

Expatserv Private Limited is a professionally managed property management and real estate coordination company serving clients across India and overseas, with a strong focus on NRI property and documentation services. We specialise in end-to-end property registration, renovation coordination, and structured post-handover management backed by disciplined reporting and operational systems.

As we continue to expand our project portfolio, we are seeking a Mid-Level Executive – Administration & Project Coordination to play a key role in strengthening and systemising our Trivandrum operations.

Role Overview

This is a responsible coordination role requiring independent handling of documentation, vendor follow-ups, and project tracking.

The selected candidate will work closely with management and ensure smooth execution of property-related assignments with strong reporting discipline and accountability.

Key Responsibilities

  • Oversee daily office administration and internal coordination
  • Independently manage documentation, agreements, invoices, and client records
  • Track and follow up on property registration, utility transfers, interior projects, and vendor tasks
  • Coordinate with contractors, service providers, and field staff to ensure timely execution
  • Maintain structured project status reports and escalation tracking
  • Support accounts with expense recording, vendor payments, and documentation accuracy
  • Handle client communication with professionalism and clarity
  • Maintain strict confidentiality and organised digital/physical records

Candidate Profile

  • 1+ year of experience in administration, project coordination, operations, or office management preferred.
  • Strong follow-up ability and task ownership
  • Good organisational and documentation skills
  • Comfortable handling vendors and external stakeholders
  • Clear written and spoken communication in English and Malayalam
  • Proficiency in MS Excel, Word, Google Sheets, and email reporting
  • Ability to manage multiple tasks without supervision
  • Strong sense of responsibility, punctuality, and discipline

Experience in property management, construction coordination, legal documentation, or operational support will be an added advantage.
