Position - MIS Executive

Job Summary

We are seeking a proactive and detail-oriented MIS Executive to support the Planning, Procurement, and Vendor Management teams in an interior design and fit-out environment. The role involves managing project-related MIS reports, tracking procurement data, coordinating with vendors, maintaining documentation, and ensuring smooth administrative operations across projects.

The ideal candidate should possess strong Excel and reporting skills, excellent coordination abilities, and experience handling procurement or project-related documentation.

Key Responsibilities

- MIS & Reporting

- Prepare daily, weekly, and monthly MIS reports related to projects, procurement, materials, and vendor performance.

- Track project timelines, material delivery schedules, and procurement status.

- Maintain and update databases for BOQs, purchase orders, invoices, quotations, and project trackers.

- Generate reports for management on procurement costs, pending orders, vendor payments, and project progress.

- Ensure accuracy and timely submission of reports and documentation.

- Coordinate with planning, design, site execution, and procurement teams for data collection and updates.

- Maintain project-wise records and documentation systematically.

- Procurement & Vendor Coordination

- Assist procurement team in vendor coordination and follow-ups.

- Maintain vendor database, quotations, comparative statements, and purchase records.

- Follow up with suppliers for material dispatch, delivery schedules, and pending orders.

- Coordinate with vendors regarding invoices, payments, and documentation.

- Support negotiation documentation and procurement approvals.

- Administrative Responsibilities

- Handle day-to-day office coordination.

- Maintain filing systems for project and procurement documents.

- Schedule meetings, prepare MOMs (Minutes of Meeting), and maintain communication records.

- Coordinate courier and administrative support activities.

- Assist management with operational tasks as required.

Required Skills & Competencies

- Strong proficiency in MS Excel (Pivot Tables, VLOOKUP/XLOOKUP, Formulas, MIS Reporting).

- Good knowledge of MS Office and Google Sheets.

- Strong coordination and follow-up skills.

- Excellent organizational and multitasking abilities.

- Attention to detail and documentation accuracy.

- Good communication skills with vendors and internal teams.

- Ability to work under deadlines in a fast-paced project environment.
