Location: Santa Barbara & San Luis Obispo Counties
Schedule: Full Time — Tuesday–Friday + 1st & 3rd Sundays
Compensation: $25-$28 per hour (DOE)

Position Overview

C.A.R.E.4Paws seeks a highly organized and compassionate Mobile Clinic Data & Veterinary Assistant to support our high-volume spay/neuter and community medicine program. This role is a hybrid of clinical support and administrative/data management, with an increased emphasis on accurate recordkeeping, client communication and workflow coordination.

The ideal candidate brings veterinary assistant skills along with a high level of comfort with data entry, scheduling systems and client-facing administrative work. This position plays a critical role in ensuring both quality patient care and accurate, timely documentation, helping our mobile clinics operate efficiently and effectively.

This is a fast-paced, team-oriented position requiring flexibility, attention to detail and a commitment to serving underserved pet families across Santa Barbara and San Luis Obispo counties. Reliable transportation is required, as clinic locations rotate.

Key Responsibilities

Data Entry, Medical Records & Administrative Support (Expanded Focus)

  • Accurately enter and maintain patient records, surgical logs and monitoring sheets in clinic systems
  • Ensure completeness and accuracy of all clinic documentation, including consent forms and treatment records
  • Manage daily paperwork flow before, during and after clinic events
  • Support data tracking for services provided, including spay/neuter, vaccines and medical cases
  • Assist with compiling clinic metrics and reporting as needed
  • Maintain strict confidentiality of client and patient information

Client Communication & Scheduling

  • Provide compassionate, clear communication with clients during intake, discharge and follow-up
  • Support clients with paperwork, instructions and general communication (preferred)

Check-In, Check-Out & Payments

  • Support efficient clinic flow through organized check-in and discharge processes
  • Verify client information and ensure all required forms are completed
  • Collect and process payments accurately (cash and credit card)
  • Provide clear post-operative instructions and answer client questions

Patient Care Support

  • Safely handle and restrain animals during exams, intake and discharge

Clinic Operations & Logistics

  • Assist with mobile clinic setup and breakdown, including unloading vans and organizing stations
  • Help maintain clinic technology (laptops, tablets, payment systems) used for data entry and communication
  • Support inventory tracking, restocking and supply organization
  • Assist with vaccination clinics and community outreach events as needed

Team Collaboration

  • Work closely with veterinary and administrative staff to ensure smooth clinic operations
  • Communicate proactively about workflow challenges, data discrepancies or client concerns
  • Contribute to a positive, respectful and mission-driven team environment

Key Responsibilities (Qualifications)

Required

  • Strong attention to detail, especially in data entry and recordkeeping
  • Comfortable using computers, databases and digital tools in a fast-paced setting
  • Ability to multitask between clinical and administrative responsibilities
  • Excellent communication and customer service skills
  • Calm, efficient and adaptable under pressure
  • Physically able to lift up to 60 lbs, stand for extended periods and safely restrain animals
  • Reliable transportation and willingness to travel to rotating clinic locations

Preferred

  • 1–2+ years experience as a Veterinary Assistant in a clinic, shelter or nonprofit setting
  • Bilingual (English/Spanish) strongly preferred
  • Experience with scheduling systems, EMR/databases or high-volume clinic workflows
  • Experience working in mobile or community medicine settings
