Mortgage Final Document Coordinator

Job Summary:

The Mortgage Final Document Coordinator is responsible for managing the post-closing documentation process to ensure timely and accurate delivery of final mortgage documents. This includes obtaining required documents from settlement agents within 90 days of loan closing and forwarding them to the appropriate investor or document custodian per investor guidelines. The role requires strong organizational skills, attention to detail, and the ability to communicate effectively with internal and external stakeholders.

Key Responsibilities:

  • Track and monitor closed loan files to identify missing final documents such as recorded mortgages, assignments, and title policies.
  • Communicate with settlement agents and title companies to obtain outstanding final documents within the required 90-day timeframe.
  • Review incoming documents for completeness and accuracy; resolve discrepancies as needed.
  • Upload and archive final documents into the loan origination system (e.g., OpenClose, Encompass).
  • Package and send final documents to investors or custodians in accordance with investor-specific delivery requirements.
  • Maintain accurate records of document receipt and investor delivery dates.
  • Respond to investor inquiries regarding final documentation status.
  • Collaborate with closers, processors, and post-closing staff to ensure smooth workflow and compliance.
  • Utilize investor websites to verify outstanding document requirements and update status.
  • Close out loan files once all final documents have been received and delivered.

Qualifications:

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Minimum 1 year of experience in mortgage post-closing or document coordination.
  • Familiarity with mortgage documentation (Conventional, FHA, VA, USDA).
  • Strong understanding of investor guidelines and compliance requirements.
  • Proficiency in Microsoft Outlook and loan origination systems.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.

Preferred Skills:

  • Experience with OpenClose or Encompass LOS.
  • Knowledge of title policies and county recording procedures.
  • Understanding of investor portals and document delivery protocols.

This position is paying between $18-$21 per hour based on experience and location.
