Role Overview
We’re looking for a detail-obsessed Bookkeeper and Operations Manager to help keep our growing academy running like a well-tuned engine. This hybrid role blends accounting precision with operational leadership—ensuring every dollar, part, process, and project flows efficiently across our shop, vendors, and leadership team.
You’ll oversee the connective systems that keep the team aligned: from clean books and organized workflows to shop operations and project timelines. Think of yourself as both the CFO of order and the COO of flow.
Key ResponsibilitiesBookkeeping & Financial Management
- Manage accounts payable/receivable, reconciliations, and financial reporting.
- Track spending by project, car build, and vendor to maintain real-time job costing.
- Prepare monthly P&L summaries and assist with budgeting and forecasting.
- Maintain accurate records in QuickBooks and coordinate with CPA for filings and tax prep.
Operations & Project Management
- Oversee daily shop operations—tracking progress, schedules, and resource allocation.
- Coordinate between workshop, parts, and leadership teams to ensure build timelines stay on track.
- Create and refine operational dashboards (financial + production).
- Implement process improvements to increase efficiency and reduce bottlenecks in builds, billing, and communication.
Parts & Vendor Management
- Source, order, and track parts for multiple car builds and maintenance projects.
- Maintain up-to-date parts inventory, supplier pricing, and preferred vendor list.
- Negotiate with vendors and ensure accurate cost allocation to projects.
- Develop repeatable systems for managing purchase orders, returns, and warranty tracking.
Team Coordination & Communication
- Translate financial and operational data into clear, actionable insights for leadership.
- Support project prioritization and planning—ensuring everyone knows what’s next and what’s needed.
- Attend weekly shop meetings and provide updates on budget vs. actuals, builds, and process improvements.
- Foster accountability and clarity across remote and on-site team members.
Qualifications
- Proven experience in bookkeeping, operations management, or business administration roles.
- Proficiency with QuickBooks and Google Workspace.
- Strong understanding of job costing, inventory management, and project-based accounting.
- Skilled at building systems using Asana, Clockify, Slack, and Google Drive (or similar).
- Highly organized, resourceful, and comfortable managing both spreadsheets and shop-floor chaos.
- Excellent communication and leadership skills.
- [Bonus] Experience with automotive, fabrication, or construction-style workflows.
- [Bonus] Familiarity with shop management tools like Shopmonkey, Fishbowl, or similar.
Nice-to-Have Experience
- Background in automotive, motorsports, or performance shop environments.
- Experience managing small teams or subcontractors.
- Comfort with light hands-on shop coordination (inventory checks, part verification, etc.).
- A passion for process excellence.
Compensation & Structure
- Contractor position with guaranteed 20 hours/week minimum, scaling up to 40 hours/week based on workload.
- Hybrid model: Mostly remote, with 10-15 hrs/week onsite in Lakeway for shop coordination.
- Competitive hourly rate or retainer (based on experience).
