Duties

  • Greet clients warmly upon arrival and assist with check-in procedures to ensure a seamless experience
  • Manage multi-line phone systems to schedule appointments, answer inquiries, and direct calls efficiently
  • Maintain appointment calendars using computer software such as Microsoft Office, Google Workspace, or salon-specific booking tools
  • Handle customer support by addressing questions, providing information about services, and resolving concerns promptly
  • Perform clerical tasks including data entry, filing, proofreading documents, and managing client records with accuracy
  • Support office management activities such as inventory tracking, supply ordering, and maintaining cleanliness of the reception area
  • Utilize strong phone etiquette to communicate professionally with clients, vendors, and team members at all times

Qualifications

  • Previous office or administrative experience in a customer service setting is highly preferred
  • Proficiency with computer skills including Microsoft Office Suite, Google Workspace, QuickBooks, and data entry systems
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Strong communication skills in English; bilingual abilities are a plus for serving diverse clientele
  • Experience with front desk operations, multi-line phone systems, and clerical tasks such as filing and proofreading
  • Knowledge of office management practices including calendar management and bookkeeping is advantageous
  • Demonstrated ability to provide exceptional customer service with friendly phone etiquette and professional demeanor
