Position Summary
The NEMT (Non-Emergency Medical Transportation) Office Assistant supports daily office operations for a medical transportation company. This position is responsible for scheduling trips, answering phone calls, coordinating drivers, communicating with facilities and patients, maintaining records, and assisting with billing and compliance tasks. The ideal candidate is organized, professional, dependable, and able to work in a fast-paced environment.
Key Responsibilities
- Answer incoming calls and assist clients, facilities, and drivers professionally
- Schedule and dispatch transportation trips efficiently
- Coordinate with drivers regarding trip assignments, cancellations, delays, and updates
- Verify patient and trip information accurately
- Maintain daily transportation logs and company records
- Assist with Medi-Cal and brokerage paperwork when needed
- Monitor driver documents and compliance requirements
- Communicate with hospitals, clinics, dialysis centers, and insurance brokers
- Enter data into dispatching or scheduling systems
- Assist management with administrative duties and office organization
- Respond to emails and maintain professional communication with clients and partners
- Help resolve scheduling conflicts and customer concerns
Qualifications
- High school diploma or equivalent required
- Previous office or customer service experience, 3+ years of experience
- Experience in transportation, healthcare, or dispatching is a plus
- Strong communication and multitasking skills
- Basic computer knowledge (Microsoft Office, email, scheduling software)
- Ability to work under pressure and manage multiple tasks
- Bilingual in English and Spanish
