Neurofeedback & qEEG Technician / Clinic Operations Coordinator

MindGym Neurofeedback is seeking a compassionate, detail-oriented Neurofeedback & qEEG Technician to join our team. This role extends beyond running neurofeedback sessions—you'll help perform quantitative EEG (qEEG) brain mapping, support daily clinic operations, maintain our therapeutic environment, and serve as a dependable team player.

Key Responsibilities
Clinical Care & Session Management
- Prepare clients for neurofeedback sessions using EEG sensors and the International 10-20 System.
- Perform quantitative EEG (qEEG) brain mapping recordings using standardized acquisition procedures.
- Ensure accurate electrode placement and maintain low-impedance recordings for both neurofeedback and qEEG appointments.
- Explain neurofeedback and brain mapping procedures, helping clients feel comfortable and informed throughout their visit.
- Monitor brainwave activity during neurofeedback sessions to ensure protocols are running accurately.
- Coach, encourage, and support clients throughout treatment while maintaining a calm and welcoming environment.
- Observe client progress and communicate relevant information to the clinical team.
Data & Clinical Documentation
- Document neurofeedback sessions and qEEG appointments accurately within the Electronic Health Record (EHR).
- Organize, upload, and maintain brain mapping files for clinical interpretation.
- Track client progress and prepare summaries for protocol reviews and Collaborative Care meetings.
- Maintain strict HIPAA compliance and confidentiality with all client records and communications.
Clinic Operations
- Serve as a dependable leader by helping maintain efficient daily clinic operations.
- Take initiative in identifying workflow improvements and operational efficiencies.
- Help onboard and support new team members as experience grows.
- Assist with coordinating clinic flow to ensure exceptional client experiences.
- Model professionalism, accountability, and MindGym's culture of excellence.
- Communicate effectively with providers and fellow team members to support quality client care.
Office & Facility Maintenance
- Maintain a clean, organized, and welcoming clinical environment.
- Complete opening and closing procedures.
- Monitor and restock clinical, office, and client supplies.
- Assist with inventory management and notify leadership of supply needs.
- Ensure treatment rooms, equipment, and common areas remain organized and presentation-ready.
Equipment & Technical Support
- Clean, maintain, and troubleshoot neurofeedback and qEEG equipment.
- Prepare equipment for daily use and verify proper functionality before appointments.
- Assist with software updates and basic technical troubleshooting.
- Maintain organization of clinic technology and treatment supplies.
Client Experience & Administrative Support
- Assist with scheduling, appointment management, and client communications.
- Support client onboarding, intake paperwork, and administrative tasks.
- Answer phones, respond to emails, and provide excellent customer service.
- Help create a positive, professional experience from check-in through checkout.
Qualifications
Required
- High school diploma or equivalent.
- Strong attention to detail and organizational skills.
- Comfortable learning new software and working with medical technology.
- Excellent communication and interpersonal skills.
- Compassionate, professional, and client-focused demeanor.
- Ability to remain calm under pressure and manage multiple responsibilities.
- Self-motivated with the ability to take initiative and solve problems independently.
Preferred
- Coursework or degree in Psychology, Neuroscience, Biology, Exercise Science, Healthcare, Medical Assisting, or a related field.
- Previous experience in a clinical, medical, wellness, or customer service environment.
- Experience with EEG, neurofeedback, medical technology, or behavioral health is a plus.
- Leadership or team coordination experience is preferred.
- Passion for neuroscience, mental health, cognitive performance, and helping others.
Work Environment & Schedule
- Quiet, professional, wellness-focused clinical environment.
- 4–8 hour shifts available.
- Monday through Saturday scheduling.
