Position Overview

WM Symposia, Inc., a premier non-profit based in Phoenix, AZ, is seeking a full-time bookkeeper. Non-profit bookkeeping, accrual-based accounting, and auditing experience are required. Only residents of the greater Phoenix area will be considered. Must have the ability to work remotely and in the business office, as well as travel a few times a year. The Non-profit Bookkeeper is responsible for maintaining accurate and compliant financial records in accordance with nonprofit accounting regulations and standards. This role supports the organization’s mission by ensuring proper stewardship of funds, accurate reporting to leadership, donors, and grantors, and compliance with federal and state regulations. This role manages day-to-day accounting transactions in an accrual-based system and provides reliable financial data to leadership and external partners.

Key Responsibilities

  • Maintain complete and accurate financial records in accordance with GAAP and nonprofit accounting standards in an accrual-based accounting system
  • Record daily financial transactions, including accounts payable, accounts receivable, and general ledger entries
  • Preliminary reconciliation of bank statements for the CPA
  • Monthly reconciliation of business credit card
  • Track restricted and unrestricted funds, ensuring proper classification and use
  • Support the preparation of monthly financial statements for management review
  • Support grant tracking, reporting, and compliance requirements
  • Process payroll and related filings, including payroll taxes and benefit deductions
  • Manage invoicing, donor acknowledgments, and contribution tracking
  • Assist with annual budget preparation and monitoring including estimates at complete
  • Support year-end close, audits, and preparation of Form 990
  • Maintain organized financial documentation and ensure confidentiality of records

Qualifications

  • Minimum of 5 years of bookkeeping or accounting experience, preferably in a nonprofit environment
  • Working knowledge of nonprofit accounting principles
  • Proficiency in QuickBooks Online accounting software and Microsoft Excel
  • Strong attention to detail and accuracy
  • Ability to meet deadlines and manage multiple priorities
  • Strong communication and collaboration skills
  • Must be able to pass a background/security check

Education

  • Associate or bachelor's degree in accounting preferred
  • 501(c)(3) experienced preferred

Work Environment

  • Full time (40 hours)
  • Works in the business office as well as remotely
  • Ability to travel 2-3 times a year
  • Works closely with executive leadership, board members, and external accountants
