The Association for Training on Trauma and Attachment in Children (ATTACh) is an international coalition of professionals and families dedicated to helping those with attachment difficulties by sharing our knowledge, talents, and resources. ATTACh provides training, education, and resources for parents and professionals, and hosts one of the best annual conferences on trauma, attachment, and healing connections.
Position Overview:
The Office Manager is responsible for the day-to-day operations of the organization ensuring efficient and effective processes and coordinating all issues affecting the daily operations for the office. The Office Manager will work under direction of the Executive Director to ensure the needs of the office, staff, Board of Directors, and members are met in a timely manner. Additionally, the Office Manager will provide event support for the annual conference.
Position Responsibilities:
The following position responsibilities are essential functions. Successful job applicants will be able to perform these essential functions with minimal supervision.
Operations:
Perform all bookkeeping functions using QuickBooks.
Process income, expenses, bank deposits, and donations.
Prepare outgoing orders of materials purchased.
Ensure effective telephone and email communications both internally and externally, maintaining professional image.
Coordinate tasks related to trainings and exhibits at outside conferences.
Assist with preparing documents for Board meetings.
Assist with securing locations for conferences, trainings, and special events.
Assist with coordinating volunteers for special events.
Organize supplies and maintain administrative files.
Responsible for maintaining SharePoint database files and file structures.
Establish and maintain membership files and database.
Prepare product orders and items for shipping/mailing.
HR responsibilities, including onboarding, offboarding, and payroll processing.
Assist the Executive Director, Board, and other staff with miscellaneous projects as requested.
Ensure efficient operation of office and computer equipment.
Event Support:
Assist Executive Director and Conference Coordinator with conference planning and travel to conference site annually.
Work on-site with Board Members and volunteers to manage registration desk and assist with logistics as needed.
Process and develop materials for workshop proposals, presentations, registration, sponsors, and exhibitors.
Coordinate Continuing Education credits with provider.
Knowledge, Skills and Experience:
4+ years’ experience with Microsoft Office 365, including Excel, Word, SharePoint, Outlook, and PowerPoint.
Regfox or other registration platform
Knowledge of QuickBooks.
Experience working with 3rd party applications.
2+ years’ experience in bookkeeping and office management or equivalent position with similar responsibilities above.
4 years’ experience in a nonprofit administrative support role
Bachelor’s degree preferred.
Experience with planning and managing conferences or events a plus.
Working Tech Support Skills
Marketing and Social Media skills and experience a plus
Time Commitment:
Full time with occasional weekend or evenings during special events.
Additional Information:
This role involves some travel and meeting leaders in the field of trauma and attachment, providing great networking opportunities. Paid time off for vacation, sick, and holidays are provided. There is no current health care insurance available. Salary range 55-65K depending on experience.
