Position Description
The Finance Administrator will fulfill a central role on the LEAP team. This position is responsible for maintaining accurate financial records and ensuring compliance with applicable laws and regulations. This role supports day-to-day accounting operations including general ledger entries, reconciliations, accounts receivable, accounts payable, and financial reporting. The ideal candidate has strong attention to detail, a solid understanding of accounting principles, problem-solving skills and maintains confidentiality around financial information. If you have experience working with nonprofit accounting systems, particularly in a small-team environment, this role is an opportunity to put those skills to use. This position works closely with the Directors and Managers and reports to the Executive Director.
Position Responsibilities
Bookkeeping
- Manage all bookkeeping functions including A/R, A/P.
- Work with the 3rd party payroll company to submit bi-weekly payroll.
- Process receipts and make bank deposits regularly.
- Create and track invoices as needed.
- Complete month end reports including sales tax, journal entries, and bank reconciliations.
Compliance
- Work with the ED, external accountant, and external auditors to update and implement all necessary business policies and accounting practices; improve the organization’s overall policy and procedure manual.
- Work with the ED to coordinate the annual audit process, liaise with LEAP staff, external auditors, and external accountant; assess and implement any changes necessary.
- Maintain filings and processes to ensure compliance with local, state and federal requirements including annual submissions, fees, and licenses for organizational and program operation. Work with the ED, Program Directors and Managers on compliance as needed.
Administration
- Receive and process mail.
- Work with Hiring Supervisors to process new hires and ensure compliance with new hire reporting requirements.
- Work with ED and Directors to ensure adequate insurance coverage/needs.
- Monitor employee benefits, including PTO and administration of the retirement plan.
- Maintain financial records and files (paper and electronic) in a neat and orderly manner.
Financial Reporting
- Provide reports to ED and Directors, as requested.
- Work with ED and Directors on financial tracking and reporting for private and government grants, including draws and reimbursement requests.
- Work with Directors and Managers on financial tracking and reporting for program income and expenses.
Required Knowledge, Skills, and Attributes
- Two-year degree or certificate in accounting or related field with 2+ years of hands-on experience (or equivalent accounting/bookkeeping experience)
- Experience in accounting systems such as QuickBooks, Sage, or similar
- Strong understanding of basic accounting principles
- High attention to details and deadlines and a commitment to accuracy
- Strong organizational, analytical, and problem solving skills
- Maintain confidentiality around financial information
- Ability to manage multiple priorities independently
- Thrive when working independently and as a supportive team member
- Good listening and communication skills
- Commitment to continual learning
Strongly Preferred
- Experience working with grants and nonprofit organizations
Position Details
- This is an in-person position (with some remote possible) at The LEAP Hub (1027 Patterson Ave SW, Roanoke)
- Flexibility to create a schedule that includes regular in-person hours between 10-4 (Monday-Friday)
- Part-time, hourly position; average of 20-25 hours per week
- $20-25/hour, depending on experience
