We are looking for a compassionate and detail-oriented Oculoplastic Scribe to join our dynamic surgical team, traveling between our offices in Des Plaines, Elmhurst and Hoffman Estates; with their primary location in Des Plaines. The ideal candidate will assist in the documentation of clinical care of patients undergoing oculoplastic procedures, including eyelid, tear duct, orbital, and cosmetic treatments.

Key Responsibilities:

  • Documentation in EHR: Accurately documenting the physician's dictation of the patient encounter, including the chief complaint, history of present illness (HPI), review of systems (ROS), past medical/surgical history, family and social history, and medication list.
  • Real-Time Charting: Accompanying the physician into the exam room to transcribe physical exam findings, assessment, and treatment plans directly into the Electronic Health Record (EHR) during the patient visit.
  • Oculoplastic Exam Details: Documenting specific components of the eye exam, such as external exam findings, hertel measurements, and detailed eyelid assessments
  • Orders and Billing: Entering all necessary orders for medications, diagnostic tests (e.g., MRI/CT, Lab Orders, Prescriptions), and follow-up appointments, and ensuring that the appropriate ICD-10 and CPT codes are documented for billing purposes.
  • Procedure Documentation: Recording details of any minor procedures or treatments performed by the physician during the visit.
  • Clinic Workflow: Assisting in maintaining patient flow, anticipating the physician's needs, and pulling up relevant past records or imaging studies for quick review.
  • Confidentiality: Maintaining strict patient confidentiality and adhering to all HIPAA regulations.
  • Patient Communication: Educate patients on their surgical procedures, aftercare, and medication use. Follow up with patients to ensure a smooth and positive experience
  • Clinical Coordination: Coordinate pre- and post-operative care, including scheduling and follow-up. Coordinate other patient care needs, per surgeon request, such as obtaining records or scheduling imaging. Provide telephone support for emergencies, patient care counseling and pharmacy refills
  • Procedure/Medication Authorization: Manage botox/xeomin orders, authorizations and assist with logistics for authorization of IV biologics
  • Prior Authorization: Assist with prior authorizations and referrals for surgery or other procedures performed

Additional Responsibilities may include:

  • Answers phones and emails, schedules and confirms appointments, and inputs patient data into data systems
  • Contributes to team effort by accomplishing related results as needed.

Our physicians maintain a routine work schedule typically, that will be Monday through Friday and occasionally will require a few hours on a Saturday (only in emergencies).

Qualifications:

  • Experience as an Ophthalmic or Oculoplastic Scribe (1–2 years preferred).
  • Strong knowledge of ocular anatomy, especially periocular structures.
  • Proficiency with EMR systems and basic ophthalmic diagnostic tools. - Modernizing Medicine Experience Preferred
  • Comfort with assisting in minor surgical procedures and handling instruments
  • Eager to attain a new skill set
  • Excellent communication, organizational, and patient care skills.
  • Ability to work independently as well as part of a surgical team.
  • Exceptional communication skills

Optional/Additional Skills

  • COAS certification is a plus, though not essential
  • Familiarity with Botox, fillers, and other cosmetic procedures a plus
  • Experience with EMR systems, especially ophthalmology-specific software (e.g., Modernizing Medicine, Epic) considered a plus
  • Knowledge of HIPAA and infection control standards.
  • Knowledge of medical billing, coding and insurance requirements is a BONUS

Job Types: Full-time, Part-time

Pay: $20.00 - $25.00 per hour
