OFFICE ADMINISTRATOR


Position Overview:

The office administrator will manage administrative business-related tasks. To do this role properly the selected candidate must be detailed oriented, extremely fast at problem solving and have experience as an administration assistant. This position will be based in downtown Calgary. The selected candidate will be supporting our senior management team as well as projects team and will have a high degree of autonomy/responsibly, ensuring that support activities meet the needs of the organization and efficient operations.


This position will report directly to the Director of Internal Operations and will be responsive to the Director of Projects


Specific Accountability:


Essential Functions:

  • Work with Director, Internal Operations to assist with execution of overall office administrative duties
  • Work with Director, Projects to support the projects team
  • Perform data entry as required
  • Handle and assist with document development, distribution and other administrative projects and responsibilities
  • Research travel options, presenting itineraries to senior team, and booking itineraries with travel agency contact
  • Prepare and submit purchase orders and expense reports
  • Coordinate IT and communications support for company employees
  • Coordinate internal programs
  • Arrange and attend meetings as required
  • Coordinate shipments and courier services
  • Welcoming visitors and directing them to the relevant office/personnel
  • Other duties as assigned

Technical Skills:

  • Proficient in a variety of computer software applications including Microsoft Office Suite (One Drive, Word, PPT, Excel and Teams)
  • Experience with ProCore an asset

Education and Experience Requirements:

  • High school diploma or post-secondary education with an emphasis in business, administration, or a related field
  • 2 or more years’ office administration experience
