We are currently looking for a detail-oriented and dependable Office Administrative Assistant to help support day-to-day office functions and assist with various administrative tasks related to staffing, compliance, scheduling, payroll support, and client coordination.
Position Overview
The Office Administrative Assistant is responsible for helping maintain efficient office operations by handling administrative duties, organizing records, coordinating communication, and supporting caregiver onboarding and scheduling processes.
The ideal candidate is organized, professional, adaptable, and capable of managing multiple responsibilities in a fast-paced environment.
Primary Responsibilities
Administrative Duties
- Provide administrative assistance to management and office personnel
- Maintain accurate and organized digital and paper filing systems
- Answer incoming calls, emails, and general inquiries professionally
- Assist in preparing internal documents, reports, and communications
Staffing & Caregiver Coordination
- Support onboarding paperwork and caregiver documentation
- Monitor caregiver certifications, renewals, and compliance records
- Assist with scheduling coordination between clients and caregivers
- Maintain and update employee files and records
Compliance & Record Management
- Help maintain caregiver training and compliance documentation
- Assist with audit preparation and regulatory recordkeeping
- Update information in agency software systems such as AxisCare or similar platforms
Office Support
- Help maintain office organization and supply inventory
- Coordinate meetings and administrative schedules
- Assist with tracking spreadsheets, reports, and internal logs
Qualifications
Required Qualifications
- High school diploma or equivalent
- At least 1 year of office or administrative experience
- Strong organizational and time management abilities
- Excellent verbal and written communication skills
- Proficiency with Microsoft Office and/or Google Workspace
Preferred Qualifications
- Experience in home care, healthcare, or staffing industries
- Familiarity with AxisCare or similar scheduling software
- Knowledge of caregiver compliance and onboarding processes

- Strong attention to detail and accuracy
- Ability to prioritize tasks and meet deadlines
- Professional phone and customer service etiquette
- Reliable data entry and documentation skills
- Ability to work both independently and collaboratively
