Office Administration Specialist

(Full-Time | Non-Exempt)

We’re hiring an Office Administration Specialist to be the operational heartbeat of our organization. You’ll keep daily operations organized and reliable—while supporting communication flow, confidential documentation, first-level HR support (including managing the HR line), and essential safety/compliance tracking.

What you’ll own

Office Operations

· Keep the office running: supplies, vendors, service requests, and equipment logs.

· Maintain smooth workflows and create simple systems that make work easier.

Communication & Coordination

· Be the point person for professional communication routing and follow-through.

· Support scheduling, meeting coordination, and clear documentation.

HR Support (First-Level, High-Trust)

· Manage and triage the HR phone line/inbox with discretion and professionalism.

· Route employee requests to the right HR owner, track items to completion, and maintain confidential logs.

· Support onboarding logistics and hiring coordination (paperwork tracking, interview scheduling, start-day readiness).

· Assist with employee record handling and accurate system updates as assigned.

Documentation + Safety/Compliance Tracking

· Maintain audit-ready files and document control standards.

· Support safety training documentation and required compliance logs.

What we’re looking for

· Organized, proactive, and strong follow-through.

· Clear, professional communication (email, phone, documentation).

· Excellent judgment with sensitive/confidential information.

· Tech-comfortable and strong in Microsoft Office (Outlook/Excel/Word).

Brief KSAOs

· Knowledge: office operations, records/document control, basic HR coordination, basic compliance tracking.

· Skills: Microsoft Office, scheduling, professional communication, trackers/logs.

· Abilities: prioritize, protect confidentiality, improve workflows.

· Traits: dependable, service-minded, detail-strong.

Pay

$18–$28/hour (based on experience)
