Office Administrative Assistant

Overview
We are seeking a detail-oriented and proactive Office Administrator to join our team. This role is essential in ensuring the smooth operation of our office environment. The ideal candidate will possess strong organizational skills, be proficient in computer literacy, and have experience in administrative support. As an Office Administrator, you will be responsible for managing various office tasks, providing customer support, and assisting with daily operations.

Responsibilities

  • Manage office communications, including emails and phone calls, ensuring timely responses.
  • Provide administrative support to staff members, including scheduling meetings and maintaining calendars.
  • Assist with customer inquiries and provide excellent customer support.
  • Maintain organized filing systems and ensure all documents are up-to-date.
  • Preparing Invoices. Proofread documents for accuracy and clarity before distribution. Recording data
  • Accounts Receivable-inputting paid invoices and follow up with client on past due invoices. Keeping and maintaining data.
  • Monthly reporting on client data, and accounts receivables to sales reps and executives
  • Support the team with clerical tasks such as typing reports and preparing presentations.
  • Act as a personal assistant to executives when needed, managing their schedules and travel arrangements.
  • Collaborate with other departments to ensure seamless operations within the office.

Requirements

  • Proven experience as an Office Administrator or similar role.
  • Strong computer literacy skills with proficiency in Microsoft Office and Excel applications.
  • Excellent organizational skills with the ability to multitask effectively.
  • Strong proofreading abilities to ensure high-quality documentation.
  • Experience in providing customer support and handling inquiries professionally.
  • Previous experience or in a similar setting is a plus but not required.
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • Strong attention to detail and commitment to maintaining confidentiality.
