Office Administrative Assistant

Job Overview
We are seeking a detail-oriented and organized Office Administrative Assistant to join our team. Bilingual proficiency is a plus, as well as experience with QuickBooks and Microsoft Office Suite. Responsibilities

  • Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and document proofreading to maintain accurate records
  • Utilize QuickBooks for bookkeeping and financial record management
  • Coordinate calendar management and schedule appointments using Google Workspace and Microsoft Office tools
  • Provide customer support via phone and email, ensuring excellent phone etiquette and customer service standards
  • Assist with office management tasks such as supply ordering, mail handling, and general administrative support
  • Support personal assistant duties including calendar management and task organization
  • Maintain a clean and organized office environment to promote efficiency
  • Handle clerical tasks such as typing, proofreading, and document preparation with accuracy and attention to detail

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong computer literacy with experience in data entry, filing, and document management
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Experience with office management, clerical duties, and administrative support functions
  • Knowledge of QuickBooks for bookkeeping purposes
  • Exceptional customer service skills with professional phone etiquette and support capabilities
  • Familiarity with multi-line phone systems and front desk operations
  • Strong typing skills with high accuracy and speed
  • Ability to proofread documents thoroughly for errors
