Office Administrative Assistant

Job Summary

We are a transportation company seeking a detail-oriented and highly organized Office / Fleet Administrative Assistant to support our daily office operations. This role focuses on managing company documents, truck-related records, insurance paperwork, repair and maintenance files, company emails, phone calls, and other administrative tasks.

The ideal candidate must be fluent in both Chinese and English, have strong communication skills, and be comfortable working with documents, spreadsheets, emails, and office systems. This position requires someone who is responsible, accurate, organized, and able to follow up on tasks in a timely manner.

Duties and Responsibilities

  • Organize, update, and maintain company files and records
  • Manage truck-related documents, including insurance records, repair documents, maintenance records, registration documents, and other fleet paperwork
  • Track insurance renewals and assist with updating required documents
  • Review and respond to company emails on a daily basis
  • Answer and make phone calls in a professional manner
  • Communicate with drivers, insurance agents, repair shops, and other business contacts as needed
  • Perform data entry and keep records accurate and up to date
  • Use Microsoft Office, especially Excel, Word, and Outlook, for daily administrative work
  • Scan, upload, file, and organize electronic and physical documents
  • Assist with general office administrative tasks as needed

Qualifications

  • Must be fluent in both Chinese and English
  • Bachelor’s degree required; any major is accepted
  • Strong proficiency in Microsoft Office, especially Excel, Word, and Outlook
  • Strong organizational skills and attention to detail
  • Good written and verbal communication skills
  • Ability to handle emails, phone calls, and document management professionally
  • Ability to multitask and follow up on pending items
  • Previous administrative, transportation, logistics, trucking, or fleet-related experience is preferred but not required
  • Familiarity with QuickBooks or basic bookkeeping is a plus, but not required
  • Must be responsible, reliable, and willing to learn

Work Environment

This role involves regular communication by email and phone and requires frequent use of Microsoft Office and document management systems. The position is best suited for someone who is careful with details, organized, and comfortable handling company records and daily administrative tasks.
