The Office Administrative Assistant is responsible for supporting daily office operations, administrative coordination, document management, communication, and operational support. This position requires strong organizational skills, communication abilities, attention to detail, and the ability to manage multiple tasks efficiently.

Key Responsibilities1. Administrative Support

  • Manage daily office administrative tasks
  • Maintain office organization and operational support
  • Handle office supply inventory and purchasing
  • Assist with meeting scheduling and calendar coordination

2. Document & Data Management

  • Organize and maintain company files and records
  • Update Excel spreadsheets and Google Sheets
  • Input and manage orders, customer information, and project data
  • Assist in preparing operational reports and documentation

3. Communication & Coordination

  • Support communication between departments
  • Follow up on assigned tasks and progress updates
  • Communicate with customers, vendors, and installation teams
  • Handle emails, phone calls, and daily inquiries

4. Project & Operations Support

  • Support Production, Dispatcher, and Installer coordination
  • Track project schedules and updates
  • Assist with delivery and installation scheduling
  • Help manage basic customer service and after-sales support

5. Additional Support Duties

  • Complete tasks assigned by management
  • Assist with workflow and process improvement
  • Support basic document verification and administrative coordination

Qualifications

  • Proficient in:
  • Microsoft Office
  • Excel / Google Sheets
  • Email communication
  • Basic office software
  • Skills Required:
  • Strong communication skills

  • Organizational ability
  • Time management
  • Multitasking capability
  • Teamwork and responsibility
  • Preferred Qualifications:
  • Bilingual in English and Chinese
  • Spanish speaking ability
  • Experience in cabinetry, construction, manufacturing, or operations
  • Administrative or project coordination experience

Pay: $14.00 - $18.00 per hour
