Core Responsibilities
- Administrative Support: Managing correspondence (emails, calls, letters), maintaining accurate homeowner and property records, organizing files and documents, processing move-in/move-out requests, and issuing various certificates or permits (e.g., no objection certificates for property modifications).
- Financial Operations: Assisting with financial tasks such as preparing and distributing service charge (assessment) invoices, tracking payments, reconciling accounts, supporting budget preparation, and assisting with collections and debt recovery strategies.
- Governance & Compliance: Ensuring the association's operations comply with local laws and the community's governing documents (bylaws, rules, and regulations). This includes preparing for audits and maintaining comprehensive documentation.
- Meetings & Documentation: Coordinating and supporting board and annual general meetings (AGMs), which involves preparing agendas, compiling meeting packets, taking minutes, and distributing formal announcements and newsletters to all stakeholders.
- Stakeholder Relations: Serving as the liaison between the board, homeowners, and vendors. This person handles general inquiries, addresses complaints, manages disputes, and fosters a positive community environment.
