Key Responsibilities:
Administrative Support:
- Manage office correspondence, including emails and phone calls.
- Schedule and coordinate meetings.
- Prepare and distribute meeting agendas, minutes, and reports.
Documentation and Record-Keeping:
- Maintain organized filing systems for company documents.
- Ensure accurate data entry and update records as required.
- Prepare presentations, reports, and other documents.
Office Management:
- Monitor office supplies and place orders when necessary.
- Coordinate with vendors and service providers to ensure timely delivery of office needs.
- Assist with onboarding new employees by preparing workstations and ensuring access to tools.
Coordination and Communication:
- Act as a liaison between employees to facilitate smooth communication and workflow.
- Respond to inquiries and provide information as needed.
- Assist in resolving administrative issues and addressing concerns promptly.
Policy Compliance:
- Adhere to company policies and procedures to ensure compliance with UCS standards.
- Maintain confidentiality of sensitive information.
Other Duties:
- Provide support for special projects or initiatives as assigned by management.
- Handle ad-hoc administrative tasks to support team efficiency.
Competencies And Required Skills :
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills in English.
- Attention to detail and accuracy in work.
- Ability to multitask and prioritize workload effectively.
- Must possess strong customer service skills.
- Must be detail oriented and an active listener.
- Ability to work under pressure.
- Bachelor’s degree in any field.
