Key Responsibilities
Accounts Support & Receivables
- Prepare, issue, and dispatch customer invoices.
- Follow up on outstanding receivables and maintain invoicing trackers.
- Coordinate with finance or external accountants as needed.
Administration & Office Management
- Oversee daily office administration.
- Manage office supplies.
- Maintain organized company records, contracts, and statutory documentation.
- Coordinate administrative requirements with management.
HR Administration
- Maintain employee files and HR documentation.
- Provide payroll inputs to management or external consultants.
- Handle employee visa applications, renewals, and cancellations via relevant portals.
Company Renewals, & Portal Management
- Manage company renewals and compliance submissions (trade license, establishment, and statutory requirements).
- Liaise with free zone authorities and service providers.
- Ensure timely compliance with regulatory deadlines (excluding MOHRE and GDRFA).
Qualifications & Experience
- Bachelor’s degree in Business Administration, Commerce, or related field.
- 3–5 years of UAE experience in an Admin / Office Executive role.
- Experience with company portals, visa processing, and renewals preferred.
- Basic knowledge of invoicing, receivables.
- DMCC and free zone administration experience is an advantage.
Skills & Competencies
- Ability to work independently with strong organizational and follow-up skills.
- Understanding of UAE administrative and compliance processes.
- Proficiency in MS Office (Excel, Word, Outlook).
- Clear English communication skills (Arabic is a plus).
- Detail-oriented with a strong deadline focus.
The job is located in Dubai, UAE, and we are looking for someone who is either currently living in Dubai or willing to relocate there.
