Duties
- Manage daily office operations, including front desk responsibilities and multi-line phone systems to ensure seamless communication.
- Oversee scheduling and calendar management for executives and team members, coordinating meetings and appointments efficiently.
- Supervise administrative staff and provide training & development to foster a high-performing team environment.
- Handle vendor management by negotiating contracts, processing invoices through QuickBooks, and maintaining strong supplier relationships.
- Support human resources functions such as onboarding new employees, maintaining personnel records, and assisting with payroll processes.
- Organize company events, meetings, and training sessions to promote team engagement and professional growth.
- Maintain accurate filing systems, perform bookkeeping tasks, and ensure compliance with office policies and procedures.
Requirements
- Proven experience in office management or administrative roles within a professional setting.
- Strong organizational skills with the ability to prioritize tasks effectively in a busy environment.
- Excellent communication skills—both verbal and written—and professional phone etiquette.
- Familiarity with QuickBooks or similar accounting software for invoicing and bookkeeping tasks.
- Proficiency with Microsoft Office products, including Excel, Word, and Teams.
- Experience in event planning, vendor management, and scheduling coordination.
- Supervising experience with the ability to lead and motivate a team successfully.
- Knowledge of medical office management or healthcare administration is a plus but not required.
- Proficiency in handling multi-line phone systems, calendar management tools, and filing systems.
