Position Overview
We are seeking a reliable, organized, and personable Office Administrator to support our Controller, Office Manager, and Project Management teams. This role is ideal for someone who enjoys wearing multiple hats that not only includes minor bookkeeping and human resources tasks, but also assisting in office administrative day to day functions as well. The position will report to the company controller, but will work with multiple departments.
Key Responsibilities
- Greet visitors and answer incoming phone calls in a professional and friendly manner and maintain a welcoming office environment to patrons
- Provide administrative support to the Controller, Office Manager, Project Managers
- Assist with data entry, filing, scanning, and document organization
- Assist with accounts payable/receivable tasks that includes but are not limited to entering invoices, company credit card transactions, applying receipts, account reconciliations.
- Assist with human resources related tasks that includes but are not limited to maintaining records/files for employee clearances, background, driving checks, handling sensitive information confidentially, reviewing and ensuring customer and vendor compliance.
- Assist with project documentation related tasks that includes but are not limited to maintaining certificate of insurance requests, bond requests, submittal document tracking and confirmations, payment applications, closeout documentations collection, subcontractor document collection, project file organization.
Qualifications
- High school diploma or equivalent (college degree a plus)
- 1–3 years of experience in an office, administrative, or clerical role preferred
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Must be proficient in Microsoft Office (Word, Excel, Outlook)
- Ability to handle confidential information with discretion
- Reliable, Punctual, Positive Attitude, Dependable, and Team-oriented
Preferred Skills
- Experience supporting accounting or administrative staff
- Experience in a fast-paced or multi-department office environment
- Dedicated and eager to be involved, learn new skills, produce quality results
- Familiarity with accounting or ERP software
Hours/Days - Two flexible schedule options available for this position.
- Option 1 - Full Time Season - April-November: Monday-Friday 8am-5pm & December-March: Monday, Wednesday, Friday 8am-5pm
- Option 2 - Full Time Annual - Monday-Friday 8am-5pm
- In-office position, not eligible for remote work.
