Office Administrator

Duties

  • Oversee day-to-day office operations, including front desk management, multi-line phone systems, and greeting visitors with professionalism and warmth.
  • Manage scheduling for meetings, appointments, and events, ensuring calendars are up-to-date and conflicts are minimized.
  • Coordinate vendor relationships, including procurement, service scheduling, and invoice processing using QuickBooks or similar accounting software.
  • Supervise administrative staff or interns, providing training and development opportunities to enhance team performance.
  • Handle human resources functions such as onboarding new employees, maintaining personnel files, and assisting with payroll processing.
  • Maintain accurate bookkeeping records, manage filing systems—both digital and physical—and ensure confidentiality of sensitive information.
  • Support medical office management or specialized administrative tasks as needed, including billing, insurance documentation, or patient scheduling.

Experience

  • Proven experience in office administration or office management roles with a strong background in clerical and administrative duties.
  • Demonstrated supervisory experience overseeing teams or managing projects effectively.
  • Proficiency in QuickBooks for bookkeeping, budgeting, and vendor payment processing.
  • Skilled in schedule management tools and calendar coordination to optimize workflow.
  • Experience with event planning for meetings, corporate events, or community outreach activities.
  • Familiarity with human resources procedures including payroll administration and employee onboarding processes.
  • Excellent communication skills coupled with organizational prowess to handle multiple priorities seamlessly. Pay: $18.00 - $20.00 per hour
