Job Overview
We are seeking a dynamic and highly organized Office Administrator to join our team and ensure the smooth operation of our team. This vital role involves managing administrative tasks, coordinating schedules, answer client phone calls, texts, and emails, material ordering, and supporting various departments to foster an efficient and welcoming workplace. The ideal candidate will bring energy, attention to detail, and a proactive attitude to keep our office function running seamlessly.

The job is fully remote on day to day basis. We will expect attendance of company meetings a few times a month for 1-2 hrs at a time as needed. Please reside within 60 miles of Cleveland OH for that reason.

Responsibilities

  • Primary communication person for incoming phone calls, texts, and client emails, and greeting visitors with professionalism and courtesy.
  • Setting and coordinate scheduling for client quotes, visits, and appointments, ensuring calendars are up-to-date and conflicts are minimized in the Jobber CRM.
  • Oversee materials order management by keeping supplies ordered, organized and inputted into the CRM system.
  • Assist with bookkeeping tasks such as invoicing, expense tracking, and basic budgeting using QuickBooks and Jobber CRM.
  • Support functions including maintaining employee timesheets in CRM and assisting with payroll processing.
  • Organize files and maintain accurate records through filing systems; handle confidential information with discretion.

Skills

  • Proven experience in office administration or related clerical roles with strong organizational skills
  • Excellent communication skills—both verbal and written—with professional phone etiquette
  • Demonstrated ability to supervise or manage team members effectively in a fast-paced environment
  • Proficiency in QuickBooks for bookkeeping and payroll management; familiarity with budgeting processes is a plus but not a must have.
  • Strong multitasking abilities with experience managing schedules and calendar coordination
  • Skilled in filing systems, record keeping, and general office management procedures

Pay: $18.00 - $24.00 per hour
