Job Overview
Great Lakes Landscape Management is seeking a highly organized and dependable Office Administrator to manage daily office operations and provide administrative, accounting, and scheduling support for our growing landscaping company. This role is critical to keeping our business running efficiently and supporting our field operations, project management, and leadership team.

Key Responsibilities

Office & Administrative Operations

  • Manage daily office operations and administrative tasks
  • Maintain organized digital and physical records
  • Support company leadership with administrative and operational needs

Accounting & Financial Administration

  • Manage bookkeeping and accounting tasks using QuickBooks
  • Process accounts payable and accounts receivable
  • Reconcile bank statements and track company expenses
  • Assist with monthly and year-end financial reporting
  • Coordinate with external accountant or CPA as needed

Payroll & HR Support

  • Process payroll accurately and on schedule
  • Maintain employee records and payroll documentation
  • Assist with onboarding paperwork and employment documentation

Scheduling & Operations Support

  • Assist in scheduling for crews, projects, and services
  • Support job tracking and operational coordination
  • Communicate schedule updates with field staff and management

Proposals, Bids & Client Support

  • Prepare and manage customer proposals and bids
  • Track proposal status and follow up as needed
  • Assist with contract documentation and job setup
  • Provide professional support to existing and prospective clients

Qualifications

  • 2+ years of administrative or office management experience (construction or landscaping industry a plus)
  • Strong working knowledge of QuickBooks
  • Experience with payroll processing and basic accounting principles
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to handle multiple priorities in a fast-paced environment
  • High attention to detail and confidentiality

Preferred Experience

  • Experience in landscaping, construction, or trades-based businesses
  • Familiarity with scheduling crews and job-based operations
  • Experience preparing bids or proposals
