About the Role
We are looking for a highly organized, customer-focused, and level-headed Office Administrator / Operations Coordinator to be the first point of contact for our clients and the backbone of our daily operations.
You will be the voice of Wetlawn on the phone, manage heavy scheduling and dispatching in Field Central, handle client communications, and keep the entire office running smoothly. This is a fast-paced, high-volume role that requires someone who can stay calm under pressure, move quickly through systems, and take full ownership of tasks.
Key Responsibilities
- Serve as the primary point of contact for all incoming calls, emails, and client inquiries while delivering excellent customer service with a calm, professional demeanor at all times.
- Manage full scheduling and dispatching in Field Central including building daily routes, confirming appointments, updating client records, and handling last-minute changes.
- Capture new lead opportunities from clients and move them in to the sales cycle for the sales team.
- Oversee Accounts Receivable follow-up (phone calls and emails) and own Accounts Payable.
- Maintain the physical and digital organization of the office — filing system, paperwork flow, receipt capture, and documentation.
- Coordinate permitting with local towns and schedule electrical inspections with utilities (ConEd, etc.).
- Monitor and manage the Trello boards, texting platform, and shared inboxes to ensure nothing falls through the cracks.
- Support general office operations, including mail, bank deposits, office supply inventory, and keeping the office neat and professional.
- Take full ownership of your responsibilities and proactively look for ways to improve processes and client experience.
Requirements
- 3+ years of office, operations, or customer service experience (field service, construction, or similar industry preferred)
- Strong phone presence and the ability to stay calm and professional under pressure
- Fast and accurate with computers — must be comfortable navigating multiple systems quickly and capturing detailed client information
- Experience with Field Central (or similar field service software) is highly preferred
- Excellent organizational skills and attention to detail
- Reliable transportation and a valid driver’s license
